Administrative Supervisor (DuPage County)
Position Overview
We are seeking an experienced Administrative Supervisor with a background in public accounting or a professional client services environment. This role will lead the administrative team, ensuring consistent performance, managing workflow coordination, and supporting operational efficiency.
This is a hybrid leadership role requiring an in-office presence. The Administrative Supervisor will oversee staff while remaining hands-on with scheduling and workflow systems, ideally leveraging experience with accounting software and processes.
The ideal candidate is an experienced people manager who brings structure, accountability, and process discipline, with familiarity in CPA firm environments and systems.
Key Responsibilities:
Administrative Team Leadership
- Supervise and support administrative team members
- Set performance goals and conduct regular 1:1 meetings and formal performance evaluations
- Set and maintain clear performance standards and service expectations
- Provide direct, timely, and constructive feedback
- Address performance issues promptly and professionally
- Coach team members on workflow efficiency and professional development
- Maintain clear workload allocation and accountability
Workflow Oversight
- Direct oversight of all fixed price agreements, change orders and engagement letter preparation
- Maintain capacity planning and calendar coordination
- Monitor administrative turnaround times and workflow throughput
- Identify bottlenecks and implement process improvements
- Partner with firm leadership to align administrative support with firm priorities
Process & Quality Management
- Develop and maintain administrative procedures and documentation
- Improve consistency and reduce rework across administrative functions
- Collaborate with internal technology and operations teams to streamline processes
- Ensure cross-training and continuity planning within the administrative team
Other Duties
- Oversight of the firm’s events calendar and planning of key events
- Coordinate front desk support and administrative schedules to ensure customer support functions are managed
- Maintain time off calendar for Administrative team
Qualifications
- 5+ years of experience supervising administrative or service teams
- Demonstrated experience conducting performance evaluations and providing corrective coaching
- Strong organizational and workflow management skills
- Experience in a professional services environment preferred (CPA firm experience a plus)
- Ability to manage multiple priorities in a deadline-driven environment
- High emotional intelligence and professional communication skills
- Proficiency with technology, including Microsoft 365 Suite, AI tools and scheduling/workflow tools

Compensation & Benefits
Compensation is competitive and commensurate with experience. The organization offers a comprehensive benefits package along with strong opportunities for professional growth and advancement. This is a hybrid role, requiring approximately three days per week in-office to collaborate with key team members, with the remainder of the time available for remote work.
