Join a compassionate, patient‑focused healthcare team as a Remote Intake Specialist , where you'll play a key role in ensuring patients receive the medical equipment and services they need—especially within the DME and CPAP product line. This role is perfect for someone detail‑oriented, tech‑savvy, and experienced in navigating payer guidelines, medical documentation, and EMR systems.
About the Role
As an Intake Specialist, you will manage incoming referrals, verify documentation, collaborate with referral sources, and support patients through the intake and financial‑responsibility process—all while working from the comfort of your home.
Key Responsibilities
- Enter referrals accurately and within required timeframes, meeting productivity and quality targets.
- Review, route, and obtain necessary physician documentation and signatures for timely patient care.
- Accurately enter referral information into the correct systems based on referral type.
- Partner with branch leadership to confirm appropriate inventory and services for each patient.
- Assist with regional team operations as needed.
- Communicate financial responsibility to non‑Medicaid patients, collect payments, and document appropriately.
- Follow company procedures for proper shipping methods and delivery processes.
- Answer inbound calls promptly and provide assistance with professionalism.
- Review medical records for non‑sales‑assisted referrals to ensure compliance before services are rendered.
- Maintain strong knowledge of payer guidelines and interpret clinical documentation for qualification and compliance.
- Work with referral sources to obtain correct and compliant documentation quickly.
- Contact patients when documentation is incomplete or does not meet payer guidelines, offering support and next steps.
- Collaborate with the sales team to support referral source relationships and documentation needs.
- Navigate multiple EMR systems to retrieve required medical records and supporting documents.
- Coordinate with the verification team to ensure accurate benefits details and payment readiness.
Required Skills & Experience
- 1+ year of experience in healthcare administration, billing, insurance, call center, or customer service within a clinical or medical‑equipment environment.
- Prior experience in a Medicare‑certified DME/HME, Home Health, or Infusion setting is strongly preferred.
- DME experience—specifically CPAP is a plus
- Strong customer service and communication skills (phone, written, and interpersonal).
- High accuracy in data entry and order entry.
- Ability to research, interpret documentation, and analyze payer guidelines.
- Comfortable in high‑volume inbound/outbound call environments.
- Proficiency in EMR systems and general computer applications.
- Ability to multitask, stay organized, and work independently in a remote setting.
Additional Details
- Work Environment: Fully Remote
- Hours: Monday–Friday, between 7:00 AM–6:00 PM CST (must be open to an 8‑hour shift within this window; occasional need to work until 6:30 PM)
- Education: High School Diploma required

This is a Contract to Hire position based out of Elmhurst, IL.
Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr.
