The American Egg Board (AEB) was created by an Act of Congress in 1976 at the request of America’s egg farmers, who desired to pool resources for national category-level egg marketing.

Home to The Incredible Egg and Egg Nutrition Center, AEB is dedicated to increasing demand for all U.S. eggs and egg products. For more than 40 years, America’s egg farmers have supported this mission by funding the AEB. The AEB is 100 percent farmer-funded, and those funds directly support the research, education and promotion necessary to market eggs.

The Executive Assistant (EA) will provide high-level administrative support to the President & CEO, Chief of Strategy and Operations (CSO), Chief of Staff (CoS) and other AEB senior leaders to ensure Checkoff goals and objectives are accomplished and operations of the executive office run efficiently. The EA will maintain and refine internal processes by coordinating internal and external resources to expedite the workflow of the executive office in a professional and positive manner. The EA will manage executive office communication and serve as a liaison on various projects and tasks as assigned by senior leadership.

ESSENTIAL FUNCTIONS

  • Serve as the primary administrative support function for the executive office.
  • Serve as a point of contact for the President & CEO with internal staff and key external stakeholders.
  • Manage, monitor, and arrange the President & CEO’s calendar in coordination with CoS.
  • Draft and prepare correspondence for the President & CEO. Coordinate and assist in the preparation of materials for the President & CEO for meetings and events. Draft and prepare meeting summaries/minutes.
  • Prepare and manage travel arrangements for the President & CEO and other senior leaders.
  • Coordinate the preparation of materials, strategic documents and presentations to prepare the Executive Team for meetings with internal and external stakeholders.
  • Prepare and manage expense reports for the President & CEO and other senior executives.
  • Process invoices and other payables on behalf of executive team.
  • Manage executive office needs in support of AEB meetings and events related to Board members, including the White House Easter Egg Roll, AEB board meetings, committee meetings and AEB’s joint annual meeting.
  • Oversee and coordinate executive office-related engagement needs, including cards, letters, branded promotional items and other employee and farmer appreciation acknowledgements and gifts following events and marking special occasions and milestones.
  • Respond to general email inquiries and phone calls, ensuring effective internal and external communication to maintain the professional image of the organization.
  • Assist with customer relationship management database input and maintenance of information as it pertains to Board members and industry partners.
  • Maintain board directory & other shared internal files.
  • Participate in meetings, conference calls, events and other activities as assigned.
  • Coordinate and collaborate with similar roles in the organization's Administration & Operations function.
  • Work independently and within a team on non-recurring and ongoing projects as assigned.
  • All other duties as assigned.

  • Bachelor’s degree or equivalent work experience.
  • 5+ years of previous experience working in an office environment, performing administrative duties, and providing C-Suite support to management.
  • Advanced knowledge of Microsoft Office tools/products – SharePoint, Teams, Word, Excel, PowerPoint, and Outlook – and other technology tools.
  • Excellent time management skills and ability to meet deadlines.??
  • Excellent?verbal and?written?communication skills and ability to communicate effectively with various?internal?and external stakeholders.???

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The noise level in the work environment is usually moderate.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk, hear, and see. The employee is frequently required to sit, stand, walk, use hands to handle, and reach with hands and arms. The employee will occasionally lift, push, or move over 30 pounds.

TRAVEL

This position requires approximately 15% travel.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several variables in standardized situations.
