CNC Shop Administrative Coordinator
Make the shop run smoother from the heart of Machesney Park, IL
If you love turning chaos into order, this role is for you. You’ll be the hub of a CNC and precision machining environment—coordinating schedules, keeping records spotless, and making sure customers and the shop team always know what’s next.
Impact you'll make
- Own daily office operations to keep workflow efficient across the machine shop.
- Coordinate schedules for staff and machine utilization—appointments, calendars, and resource planning.
- Perform customer order entry and expedite orders to meet deadlines.
- Maintain thorough records of inventory, orders, and production timelines.
- Serve as the communication link between management, shop personnel, and clients.
- Create, organize, and archive reports and essential documentation.
- Roll out and uphold office procedures and policies that lift productivity.
- Support hiring by scheduling interviews and helping with onboarding.
- Deliver timely, professional responses to customer inquiries.
- Obtain quotes for outside processing from vendors.
- Track open outside-processing jobs and expedite when needed.
Skills and experience
- High school diploma or equivalent required; associate’s or bachelor’s in business administration or related field preferred.
- Demonstrated success in office management/administration, preferably in manufacturing or a machine shop.
- Exceptional organization and attention to detail.
- Clear, professional communication and strong interpersonal skills.
- Advanced skills in Microsoft Office (Word, Excel, Outlook) and familiarity with office management software.
- Ability to prioritize and multitask in a fast-moving environment.
- Basic exposure to machine shop workflows is advantageous.
