General Summary
Reporting to the Chief of Eternal Affairs and Mission, the Volunteer Manager is responsible
for supporting and initiating partnerships and community engagement including the direct management of volunteers for Marillac St. Vincent Family Services. The Volunteer Manager
will manage group volunteer experiences and requests, create innovative engagements to complement development activities; initiate new partner and community relationships as appropriate and recruit, interview, train, coordinate and supervise all program volunteers at MSV. This engagement supports MSV mission and programs ensuring enhanced program services and a positive, impactful experience for all stakeholders.
Duties & Responsibilities
- Work with the Chief of External Affairs and Mission and the Development team to assess current donor and volunteer relationships to explore possibilities for stronger engagement.
- Identify potential individuals or groups for volunteer engagement.
- Actively participate in community and partner led events, to build relationships, foster collaboration, and support shared projects that align with the MSV Mission and objectives of the MSV and the objectives of the MSV East Garfield Community Hub.
- Build strong relationships with key program staff to gain insight into participant needs and program priorities.
- Promote engagement activities through social media, newsletters, and other communication channels to build awareness and excitement.
- Maintain accurate records of volunteers and prospective volunteers to support effective agency communication records.
Coordinating Volunteers
Recruitment & Training
- Volunteers will be actively recruited to contribute to MSV’s core programming, early childhood, youth development, community connections, events, and operational support ensuring mission aligned services across all areas.
- Build and nurture relationships with new partners to grow individual and group volunteer engagement and deepen Mission support.
- Coordinate with the development team to create volunteer opportunities for existing donor base and partner entities.
- Present at New Employee Orientation Monthly on Volunteer Opportunities for staff.
- Review of all applications for compliance and signatures.
- Enforce Organizational background check and screening services polices for volunteers
- Foster a thriving team culture by providing opportunities to celebrate events and professional development.
- Balance “Mission Critical” volunteers with “Mission Enhancing” volunteering.
- Build trust, appreciation, and attachment with the volunteers.
- Communicate monthly with volunteers on updates and schedules.
- Create clear role descriptions and expectations for all volunteer positions.
- Supervise volunteers and provide ongoing support and feedback.
- Coordinate logistics for group volunteer events and special events.
Supervision & Scheduling
- Oversee volunteer compliance with child care IDHS, HS, and EHS rules.
- Evaluate and document volunteer skills to determine if they are the right fit for MSV
- Maintain a weekly schedule to communicate to the Reception Desk, Operations Staff (if involved) and Development Staff so that any of these staff members could assist volunteers
Volunteer Participation-Tracking & Recognition
- Coordinate with the evaluation team to ensure traced outcomes align with the MSV strategic plan and priorities.
- Feature a “Volunteer of the Month” or other volunteer highlights for website quarterly.
- Prepare documentation for the required volunteer hours.
- Work with the Chief of Development to create a stewardship program for volunteers.
Job Requirements
Experience/Education
Bachelor’s degree required
Qualifications
Must exemplify self-starter skills which includes, but is not limited to, excellent verbal and written skills to accurately convey the mission of Marillac St. Vincent Family Services and interact effectively with the public, staff, & volunteers; ability to multi-task and determine priorities to meet press deadlines and utilize creativity to develop innovative ways of sharing MSV’s mission externally. Must have passion for MSV’s Mission. Must have strong knowledge of business etiquette and protocol. Requires necessary time management and organizational skills. Detail-oriented. Proficiency with Microsoft Office is needed, and some familiarity with development database software such as Raiser’s Edge, E-Tapestry and Donor Perfect preferred. Ability to effectively represent the Daughters of Charity Ministries’ mission required. Must have a valid Illinois driver’s license and a good driving record.
Language
Ability to read and speak English proficiently.
