Job Summary

We are seeking an experienced Executive Assistant to provide high-level administrative and logistical support to senior executives within a retail merchandising and marketing organization. This role ensures executives can focus on strategic priorities by efficiently managing schedules, travel, meetings, and expense reporting. The ideal candidate is highly organized, adaptable, and experienced in supporting executive leadership in a fast-paced environment.

Key Responsibilities

• Provide daily administrative support to senior marketing leadership, including calendar management, travel coordination, and expense reporting

• Manage complex and heavy travel arrangements, including flights, car services, and hotel reservations

• Create detailed business travel itineraries requiring research and independent judgment

• Draft and prepare correspondence, presentations, and leadership materials (e.g., town halls, business updates)

• Exercise discretion and independent judgment when handling confidential and sensitive information

• Collaborate with cross-functional teams to support special projects, meetings, and executive initiatives

• Manage and respond to inquiries that vary in complexity and require research and follow-up

• Maintain a professional and organized executive support environment

• Demonstrate flexibility and adaptability to meet changing business needs and executive working styles

• Provide backup support to the Chief Marketing Officer’s Executive Assistant as needed

Qualifications

• Proven experience supporting senior-level executives

• Strong organizational, communication, and time-management skills

• Ability to handle confidential and complex information with discretion

• Proficiency with scheduling tools, expense reporting systems, and presentation software

• Experience in a fast-paced, corporate or retail environment preferred
