Position Overview

The Illinois Department of Corrections is seeking a professional Executive Secretary III who will report to the Chief of Intelligence & Internal Investigations. This selected candidate will manage sensitive projects, confidential investigations, and high-priority communications with precision and discretion. Combining advanced organizational skills with deep knowledge of rules, regulations, and policy, this position ensures seamless coordination of special assignments, budget oversight, and personnel matters impacting organizational operations. Essential Functions

  • Conducts special projects and studies of a confidential nature as an administrative secretary.
  • Keyboards correspondence, memoranda, reports and other documents, often of a confidential and sensitive nature including labor relations materials such as results of employee review hearings, grievance decisions, employee evaluations and administrative reports involving plans for organizational changes and lay-off.
  • Performs secretarial duties for the Chief of Intelligence & Internal Investigations.
  • Monitors submission of all personnel transactions requiring the Chief's signature and approval to comply with established rules and regulations.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and three (3) years of secretarial experience or completion of high school and five (5) years of secretarial experience.
  • Requires ability to type accurately at 55 wpm.

Preferred Qualifications

  • Prefers at least three (3) years of professional experience working with and maintaining confidential information regarding ongoing investigations.
  • Prefers at least three (3) years of professional experience working within the functions and interrelationships of State agencies, labor unions, or equivalent entities.
  • Prefers at least three (3) years of professional experience compiling documentation to assemble and submit weekly, monthly, quarterly and yearly investigative reports.
  • Prefers at least four (4) years of experience scheduling appointments for staff in a public or private organization.
  • Prefers at least three (3) years of professional experience filing sensitive information related to administrative and/or criminal investigations.
  • Prefers at least four (4) years of professional experience prioritizing tasks.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
