Data Assistant Senior

:

The Senior Data Assistant is instrumental in ensuring that The Graduate School (TGS) has the most accurate career outcome data possible. Currently TGS has 92% known placements for graduates over the last 10 years. This information is presented to the public as well as university leadership, schools, programs, and students and is an essential tool in assessing success. This position also supports the Training Grant Support Office in TGS by ensuring that training grant applications have accurate and consistent information about doctoral student admissions and outcomes. The Senior Data Assistant administers and maintains a central database of faculty affiliation to academic programs. This is used by NU Scholars as well as individuals targeting certain populations of faculty for reporting or surveying. In addition, the Senior Data Assistant ensures associated administrative tasks such as documentation, editing of code books and manuals, etc. are completed and performs ad hoc data and research requests for TGS staff and campus partners as assigned.

Please Note: This position follows current University guidelines regarding a hybrid work arrangement with an onsite average of three days per week.

Target hiring range for this position will be between $44,000 to $50,000 per year . Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Specific Responsibilities :

Career Outcomes Data and Reporting

• Utilizes internet resources to find and verify career outcomes for TGS graduates.
• Uploads and enters graduate career outcomes into the Career Outcomes Tracking System.
• Competes lookups for 3, 5, and 10 years out from graduation.
• Monitors reports to ensure the system is working correctly and partners with IT to correct any system problems in a timely manner.
• Conducts an annual mailing to departments to request career updates and related information.

Grant Support

• Creates and runs queries in the training grant database system to update the grant table template.
• Cleans data and uploads it into the grant template.
• Double checks template formulas to ensure correct calculations.
• Checks table outcomes against other sources to ensure consistency.
• Checks the work of other contributors to ensure consistency.

Faculty Outreach

• Pulls faculty lists from the MyHR system and verifies them against program websites.
• Creates spreadsheets to be verified by program leadership.
• Completes mailing and receipt to verify accurate faculty lists.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

• Bachelor's degree or the equivalent combination of education and experience
• Experience with PeopleSoft student information system
• Experience with relational databases and data warehousing techniques
• Strong knowledge and aptitude for Excel

Minimum Competencies: (Skills, knowledge, and abilities.)

• Advanced proficiency in MS Office applications (Access, Excel, PowerPoint, and Word)
• Comfort with storage and spreadsheet management of large complex databases
• Ability to work on multiple projects simultaneously, set priorities, and meet deadlines
• Independently able to use judgment to troubleshoot, resolve inquiries, and prioritize workload
• Ability to work effectively with diverse populations and advance effective and inclusive working relationships and promote positive workplace engagement
• Excellent attention to accuracy and detail
• Strong time management, analytical, and problem-solving skills
• Excellent written and verbal communication skills

Preferred Qualifications:

• 2-3 years of experience conducting institutional research in a university setting
• Familiarity with relevant higher education research literature

Preferred Competencies: (Skills, knowledge, and abilities)

• Experience with the PeopleSoft student information system and query/report building tools for data extraction (i.e., SQL)
• Working knowledge in statistical analysis, data mining, web development and reporting tools, file compression, and desktop publishing software
• Expertise in data presentation, both in tabular and graphical formats
• Demonstrated skills in relationship management
