We are seeking an organized, detail-oriented, and passionate Education Programs Administrative Specialist to provide essential support to our Education Department. This role plays a key part in ensuring the smooth operation of youth and internship programs by handling administrative tasks, coordinating supplies and logistics, maintaining accurate data collection, and assisting with curriculum development. The Education Programs Administrative Specialist works closely with program staff, instructors, and internal departments to help create meaningful learning experiences for youth and interns. This position reports directly to the Assistant Manager of Education Programs.
Key Responsibilities
Youth Programs Support:
Assist with the administration of a 6-week summer employment program and a 10-week school-year program for high school students.
Work closely with instructors and program staff to coordinate program logistics.
Support outreach and recruitment efforts, maintaining accurate participant records.
Organize and distribute curriculum materials for youth instructors.
Track attendance, learning outcomes, and overall program impact.
Develop supporting materials such as worksheets and lesson plans.
Coordinate transportation for field trips and events.
Assist with youth enrollment requirements and payment distribution.
Communicate with families regarding programming updates, schedules, and important information.
Support budget tracking and program spending.
Internship Program Support:
Assist with the administration and coordination of internship programs.
Track individual intern progress and program outcomes.
Support the application, interview, and onboarding process.
Maintain accurate records of intern stipends in collaboration with the finance team.
Deliver supplies and materials to program sites.
Collect and analyze data to measure program success.
General Administrative Support:
Maintain an organized inventory of supplies and track deliveries.
Ensure compliance with partner contracts and support partnership applications.
Maintain an archive of program documents and assist with audit preparation.
Assist in developing program-related communication materials, including newsletters and social media updates.
Provide occasional classroom support and substitute for instructors when needed.
Help organize and support special events.
Qualifications & Skills:
Bachelor's degree or high school diploma with at least 2 years of relevant experience.
Experience providing administrative support for educational programs.
Strong organizational and communication skills with excellent follow-through.
Ability to establish positive relationships with youth, parents, and community partners.
Familiarity with Google Workspace (Docs, Sheets, Drive) or a willingness to learn.
Passion for food justice, youth development, and community engagement.
Ability to work independently and as part of a collaborative team.
Willingness to work weekends as needed.
Valid driver's license with a willingness to travel to program sites.
Preferred (but not required):
Experience with Cityspan Youth Attendance and Compliance System, After School Matters/DFSS programs, or Keela communication software.
Physical Demands & Work Environment:
Ability to lift up to 50 lbs.
Frequent travel to program sites.
Willingness to work in an open-office setting and outdoor environments in various weather conditions.
Occasional periods of prolonged computer use.
Schedule & Availability:
Full-time, 40 hours per week.
Tuesday - Saturday schedule (adjusted seasonally).
Vacation blackout dates: June 15 - August 15.
