Executive Assistant to Dean
A prestigious art institution is seeking a highly organized and proactive Executive Assistant to the Provost and Dean of Faculty. This role provides critical administrative and operational support to senior academic leadership and plays a key role in ensuring the smooth functioning of the Office of the Provost.
This is a high-visibility position that requires strong judgment, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced academic environment.
Responsibilities
- Manage complex calendars for the Provost and Dean of Faculty, including scheduling meetings, coordinating travel, and tracking key events
- Oversee executive communications, including email management, drafting correspondence, and handling sensitive inquiries with discretion
- Support financial administration, including expense processing, procurement card management, invoice payments, and faculty-related payments
- Maintain digital and physical filing systems while improving workflows and organization
- Coordinate and schedule meetings across multiple committees, faculty groups, and leadership teams
- Attend meetings, take notes, track action items, and assist with presentations and follow-ups
- Support onboarding of new staff, including logistics, system access, and orientation resources
- Manage departmental travel logistics and reimbursement processes
- Maintain and update internal web pages and policy documentation
- Coordinate PTO and scheduling across departments to ensure proper coverage
- Assist with planning and execution of events, special projects, and academic initiatives
- Provide additional administrative support to senior academic leaders and related offices
Requirements
- Bachelor’s degree or equivalent experience required
- 5+ years of executive or administrative support experience (higher education or arts environment preferred)
- Proficiency in Microsoft Office, Google Suite, and Adobe Acrobat
- Strong editing, proofreading, and document preparation skills
- Experience with tools such as Concur, Zoom, PeopleSoft, UKG, or Airtable is a plus
- Exceptional organizational, communication, and interpersonal skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- High level of discretion when handling confidential information
- Proactive, detail-oriented, and able to work both independently and collaboratively
