Position Title: Program Coordinator
Reports to: Finance & Community Programs Manager
Position Status: Full-Time, Hourly Exempt
Rate of Pay: $20/hr

Primary Function of the Position: The Program Coordinator supports daily operations at Uniting Pride, including overseeing daily office operations, volunteer coordination, in-house programs (Eat UP, UP & Away, Read UP), and social media/marketing. This role ensures smooth operations by maintaining office communications, updating the website and calendar, tracking program data, and creating marketing materials. Additionally, the coordinator supports facilitators, represents UP at community events, and assists with cultural competency training while adapting to evolving organizational needs.

Major Duties and Responsibilities

  • Office, Operations & Digital Management : Maintain an organized office, oversee supplies, manage office communications, and staff daily office hours. Keep the website, resources, and public calendar updated for accuracy and accessibility.
  • Program Oversight : Manage in-house programs ( Eat UP Food Pantry, UP & Away, Read UP ), ensuring proper inventory, accessibility, and promotion to maximize community impact.
  • Volunteer & Facilitator Management : Recruit, train, and coordinate volunteers while ensuring engagement and retention. Support peer group facilitators by overseeing group audits, facilitator check-ins, attendance tracking, and onboarding.
  • Marketing & Communications : Develop and distribute promotional materials, oversee social media, manage the Discord community platform, engage with the community online, and assist with newsletters and branding consistency.
  • Data & Reporting : Track and report program data, donations, and demographics in CRM and data management systems. Maintain monthly fundraising spreadsheets for grant reporting and organizational assessment.
  • Community Engagement & Events : Represent UP at events, coordinate tabling efforts, and ensure outreach materials and logistics are well-organized.
  • Training & Development : Assist in cultural competency training and community education efforts.
  • Committee Involvement & Adaptability : Serve on relevant committees and remain flexible to evolving community needs and organizational priorities.

Other Duties and Responsibilities

  • Maintain confidentiality of client and agency information.
  • Appropriately document work activities in a timely manner.
  • Attend meetings or trainings as directed.
  • Staffing of informational or outreach events as directed.
  • Employees will be expected to work for several hours on a weekend up to 26 times per year.
  • Employees will be expected to work (and be compensated for) extra hours during the week of fall PrideFest (occurring for a week sometime between mid-September and mid-October). No leave will be granted for that week.
  • This position is primarily office-based with work-from-home flexibility as operations allow.
  • Other duties as assigned.

Qualifications

Experience: The ideal candidate for this entry-level position should be organized, detail-oriented, and willing to learn on the job. A passion for supporting the LGBTQ+ community and the ability to work well with diverse groups is essential for success in this role. Prior experience with non-profit organizations, CRM systems, Google Suite, Canva, Mailchimp, Discord, and online social networking platforms is appreciated but not required.

Required Knowledge, Skills, and Abilities

  • Strong communication and writing skills.
  • Ability to work well with diverse or marginalized populations.
  • Ability to operate a personal computer and standard office software.

Agency Requirements

  • Employees must pass all required background checks.
  • Use of a personal cellphone is required, primarily for staff communications.

For those who have not navigated the ACA Health Insurance Marketplace before, Uniting Pride can guide you through the process. Someone at this salary rate can generally expect significant government subsidies to cover the cost of their insurance. A low-level plan, at the time of this posting, begins at $80 per month because of the subsidies, and employees will have a range of plan choices so they can select the plan that meets their healthcare needs.
