Job Summary
We are seeking an energetic and detail-oriented Assistant Controller to join our finance team. In this vital role, you will support the company’s financial operations by overseeing accounting functions, ensuring compliance with regulatory standards, and assisting in financial reporting. Your expertise will help drive accurate financial management and strategic decision-making within our organization.
Responsibilities

- Report directly to Controller
- Manage a small team of administrative assistants, clerks, and staff accountants
- Coordinate accounts payable/receivable and AIA billing processes
- Manage billing submissions through Textura platform
- Process and track Time and Material (T&M) projects, including detailed billing and documentation
- Track, compile, and submit OCIP (Owner Controlled Insurance Program) documentation for applicable projects
- Prepare and submit required documentation through B2GNow portal for compliance and reporting
- Review job cost data and assist in preparation of monthly WIP (Work in Progress) reports
- Assemble monthly financial statements and supporting schedules
- Serve as liaison to payroll department for construction-specific payroll matters
- Reconcile quarterly payroll reports and prepare required quarterly returns
- Maintain professional relationships with vendors, subcontractors, financial institutions, and company personnel
- Establish efficiencies in systems/operating procedures
- Prepare and oversee month-end closeout procedures
- Establish and maintain systems and controls that verify the integrity of all systems, processes, and data
- Communicate with co-workers, management, clients, and others in a courteous and professional manner
- Respond to the President and Vice President as assigned with accurate and timely work to facilitate financial needs
- Prepare and/or review lien waivers and all corresponding documentation for construction payouts
- Prepare and/or review monthly Union Reports
- Prepare year-end schedules for auditors as necessary
- Prepare Certification, License, and Permit renewal documentation
- Ensure that all office functions are carried out in an efficient, effective, professional manner and assist on routine and unexpected projects as directed
- Participate in a wide variety of special projects and compile a variety of special reports
- Conform with and abide by all regulations, policies, work procedures, and instructions
Requirements:
- Bachelor's degree in Accounting or Finance; CPA preferred
- 3 years of recent Supervisory/Management experience required
- Strong leadership and effective problem-solving skills
- High degree of accuracy, attention to detail, and confidentiality
- Experience with Construction Accounting software (Computer Ease and Viewpoint Vista preferred)
- Familiarity with construction billing platforms (Textura) and compliance portals (B2GNow)
- Experience with prevailing wage compliance, certified payroll, and union reporting
- Knowledge of OCIP/CCIP insurance programs and documentation requirements
- Understanding of job costing principles and WIP reporting
- Proficient in Microsoft Office and data entry
- Ability to work well with others as well as independently
- Must actively participate in a team environment
- Occasional lifting and/or carrying of objects weighing up to 10 lbs
- Visual acuity required for preparing and analyzing data, operation of office equipment, and determining the accuracy and thoroughness of work
