Respiratory coordinator
The Respiratory Complex Patient Coordinator is a key member of the care coordination team, responsible for managing the intake, qualification, and setup of patients (primarily pediatric) requiring advanced respiratory and nutritional therapies. This includes non-invasive and invasive ventilation, Airvo systems, tracheostomy supplies, suction equipment, and enteral nutrition.
In this fast-paced and dynamic role, you’ll work closely with healthcare providers, patients, and insurance companies to ensure timely and compliant therapy delivery. You’ll be expected to respond swiftly to urgent needs—such as immediate hospital discharges—by coordinating equipment setup and documentation with precision and compassion. Success in this role requires strong problem-solving skills, initiative, and the ability to self-direct while maintaining a patient-centered approach.
Key Responsibilities:
- Patient Intake:
- Coordinate the intake of new patients for non-invasive and invasive ventilation, Airvo's, trach supplies, suction, and enteral nutrition.
- Collect and verify patient information, including medical history and insurance details.
- Therapy Qualification Per Payer Guidelines:
- Assess patient eligibility for non-invasive and invasive ventilation, Airvo's, trach supplies, suction, and enteral nutrition based on payer-specific guidelines.
- Obtain necessary authorizations and documentation from insurance companies.
- Appointment Scheduling:
- Schedule and setup appointments for patients to receive their therapy equipment.
- Ensure timely communication with patients regarding their appointment schedules and any changes.
- Insurance Coordination:
- Verify patient insurance coverage and obtain necessary authorizations.
- Handle billing inquiries and resolve any issues with insurance claims.
- Documentation:
- Maintain accurate patient records, including therapy progress, equipment usage, and insurance details.
- Ensure all documentation is up-to-date and compliant with healthcare regulations.
- Liaison:
- Act as a liaison between patients, healthcare providers, sales reps, and insurance companies.
- Facilitate smooth communication and resolve any issues that arise.
- Compliance:
- Ensure all activities comply with healthcare regulations and standards.
- Stay updated on changes in regulations and implement necessary adjustments.
Qualifications:
- Education:
- High school diploma or equivalent.
- Experience:
- Minimum of 1–2 years of direct experience supporting respiratory complex patients, with a strong preference for pediatric care settings.
- Proven background in durable medical equipment (DME) coordination, including ventilator and tracheostomy setups, suction, Airvo systems, and enteral nutrition.
- Demonstrated ability to manage high-volume intake workflows, including referral communications, insurance verification, and documentation review.
- Experience working with EMR systems, especially Brightree, and proficiency in Microsoft Office tools (Word, Excel, Outlook, Teams).
- Familiarity with payer-specific guidelines and prior authorization processes for respiratory therapies.
- Strong customer service and interpersonal communication skills, with the ability to liaise effectively between patients, providers, and insurance companies.
- Ability to work independently and collaboratively in a fast-paced, demanding environment, demonstrating initiative and sound judgment.
- Ability to quickly pivot and respond to urgent needs, including coordinating therapy setup and documentation for immediate hospital discharge patients.

Pay: $22.00 - $25.00 per hour
