Job Title: Intake Coordinator
Exempt/Non-exempt: Non-Exempt
Immediate Supervisor: Director of Clinical Services
Compensation Range: $23.96 - $25.96

Essential Functions:
1. Primarily responsible for Initial client intake and serves as the first point of contact for individuals seeking services conduct initial assessments and gather relevant information to determine their needs and eligibility. Works independently and exercises discretion and sound judgement in overseeing the agency intake process and reporting regularly on intake functions and timely assignment of primary worker. Recommends for hire trains supervises and provides performance management for intake staff. Develops highly coordinated and collaborative work on Central Intake.
2. Ensures foster care intakes are conducted in compliance with organizational standards and accreditation standards
3. Child Welfare - Screen case opening assignment forms assess accuracy provide brief details and immediately forward documents to appropriate supervisor for action.
4. Counseling Screen referral information assess urgency provide immediate crisis intervention as necessary. Document call information and forward appropriate information to the appropriate clinical team.
5. Complete all necessary paperwork and monthly reports involved in the placement process including collecting and documenting accurate client information like medical history insurance details and presenting concerns. Maintain accurate and up-to-date client records in electronic systems ensuring data integrity and compliance with confidentiality standards.
6. Provide clear and timely communication to clients regarding appointment details required documentation and any necessary preparations.
7. Maintain relationship and works collaboratively with child welfare and external stakeholders to help meet programmatic goals.
8. Respond to and document all requests for services in our community counseling program opening and assigning cases setting fees and verifying insurance
9. Facilitate orientations for new clients explaining program features guidelines and expectations to ensure a smooth transition.
10. Maintain and document contracts and manage relationships with insurance companies and Medicaid.
11. Maintain a current universal roster of all counselors in the clinical services program.
12. Provide information about additional support services community resources and referrals as needed.
13. May assist with administrative tasks such as filing data entry and managing phone calls to support the smooth operation of the intake process.
14. Perform other duties as assigned.
Knowledge and Ability Requirements:
Knowledgeable and experienced in insurance billing including Medicaid managed care and employee assistance programs as they pertain to counseling and the Agency. Demonstrates organizational skills and collaborates with internal and external stakeholders.
Through understanding of DCFS Child Welfare practices.
Excellent detail orientation.
Education and Experience:
Bachelors Degree in social work or related field with demonstrated experience with child welfare. Masters Degree in Social Work or related degree is preferred. Must have experience working with a variety of providers and payers such as Medicaid insurance companies managed care employee assistance and other community organizations.
Physical Demands and Other Requirements:
To perform this job successfully an individual must be able to perform the essential duties listed in the job description satisfactorily. While performing the duties of this job the employee is regularly required to talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to finger handle or feel objects or controls; reach with hands and arms. Capable of operating standard office equipment including a computer and keyboard and typical business machines such as a fax machine and copier. The employee must occasionally lift and/or move up to 20-30 pounds. Specific vision abilities required by this job include close vision distance vision and the ability to adjust focus. The employee is required to have valid drivers license auto insurance and must be able to safely operate a motor vehicle. The work environment characteristics include a noise level which is usually low to moderate.

Communication/Interpersonal Skills: All written and oral communication skills are appropriate for their position. Consistently conveys clear accurate timely and respectful communication appropriate for the situation. Informs appropriate management staff when incident occurs or a crisis situation. Interacts effectively with all levels of clients staff interns volunteers and external stakeholders. Informs appropriate management staff when an incident occurs. Able to successfully share skills and concepts with others and works effectively with others under time and environmental pressures.
Safety and Agency Resource Utilization: Demonstrates sound judgement and foresight in safety awareness and in daily work. Notifies in a timely manner the supervisory chain of any incidents or circumstances that need attention. Report all suspicions or allegations of abuse immediately to their supervisor. Ensures appropriate utilization of materials and resources and minimizes waste.
