License Specialist - Regulatory Compliance & Business Licensing
Location: Hybrid – 4 Days Onsite in Deerfield, IL
Duration: 12-Month Contract with Potential for Extension or Full-Time Conversion
Schedule: Monday–Friday | Preferred Hours: 8:00 AM–4:30 PM or 8:30 AM–5:00 PM; some scheduling flexibility available

Chamberlain Advisors is seeking a detail-oriented License Specialist – Regulatory Compliance & Business Licensing to support a large, highly regulated enterprise pharmacy organization. This position is responsible for managing business and operational licensing activities across multiple states, county, and local jurisdictions while ensuring applications and renewals are completed accurately, completely, and within required regulatory deadlines.The License Specialist will research jurisdiction-specific licensing requirements, prepare and submit initial and renewal applications, maintain licensing records and tracking systems, and communicate directly with state and local regulatory agencies to clarify requirements and resolve routine compliance issues.This position requires exceptional attention to detail, organization, follow-through, and the ability to interpret complex forms, instructions, regulations, and documentation requirements. What You Will Be Accountable For
- Prepare, process, and submit initial and renewal applications for pharmacy, DEA, business, and other operational licenses required across company locations and business units.
- Research applicable state, county, municipal, and other jurisdictional rules and regulations to determine licensing requirements.
- Review regulatory requirements, jurisdiction-specific business practices, forms, and supporting documentation to ensure applications are accurate and complete.
- Monitor licensing requirements and deadlines to ensure applications, renewals, and associated payments are submitted on time.
- Research licensing requirements for new business locations and complete necessary applications supporting operational readiness.
- Communicate directly with Boards of Pharmacy, government agencies, licensing authorities, and other regulatory organizations to clarify requirements and address routine compliance matters.
- Escalate complex, unclear, or unresolved jurisdictional requirements to the Licensing Team Lead or department leadership.
- Apply established corporate policies, procedures, and SOX-related compliance requirements throughout licensing activities.
- Maintain complete and accurate licensing documentation to support regulatory compliance.
- Assist with internal and external audits by researching records, gathering documentation, and responding to licensing-related inquiries.
- Ensure licensing processes and records meet applicable internal controls and documentation standards.
- Review licensing calendars, new-location checklists, and other tracking resources to identify upcoming applications, renewals, and required disbursements.
- Update and maintain information within the organization's License Automation System and related licensing trackers and checklists.
- Maintain accurate documentation and status information as licensing activities are completed.
- Manage multiple applications, jurisdictions, deadlines, and documentation requirements simultaneously.
- Identify missing or incomplete information and follow up with the appropriate internal or external parties to keep applications moving forward.
- Partner with the Licensing Team Lead, fellow License Specialists, internal business units, corporate departments, and external service providers to obtain information and complete licensing requirements.
- Assist other License Specialists with initial and renewal applications during periods of increased workload or competing deadlines.
- Develop effective working relationships with licensing agencies and jurisdiction representatives.
- Participate in required meetings, document action items, and follow through on inquiries or outstanding licensing requirements.
- Provide professional written and verbal communication to internal stakeholders, management, government agencies, and external partners.
What Qualifications You Need
- High School Diploma or GED.
- Approximately 10+ years of professional office, administrative, compliance, document-processing, licensing, or related experience.
- Experience interpreting, completing, and processing detailed business or regulatory forms and documentation, such as licensing applications, mortgage documents, insurance forms, permits, credentialing documentation, legal forms, or similar materials.
- Demonstrated ability to work accurately in a high-volume, deadline-driven environment involving multiple documents, requirements, and due dates.
- Strong attention to detail with the ability to identify missing, inconsistent, or inaccurate information.
- Experience providing professional customer service to both internal and external stakeholders.
- Strong written and verbal communication skills, including experience communicating through email, telephone, letters, and one-on-one interactions.
- Ability to communicate professionally with employees, management, government agencies, licensing authorities, and other external organizations.
- Strong organizational and follow-up skills with the ability to manage multiple priorities simultaneously.
- Basic proficiency with Microsoft Word and general computer-based document management.
- Ability to work onsite in Deerfield, Illinois.
Preferred Qualifications
- Previous experience with business licensing, regulatory compliance, permitting, credentialing, government filings, corporate compliance, or regulatory documentation.
- Experience interacting with government agencies, state boards, municipalities, or other licensing jurisdictions.
- Experience researching and interpreting state, county, or municipal requirements.
- Exposure to SOX controls, compliance procedures, or audit support.
- Experience maintaining licensing databases, compliance management systems, workflow systems, or deadline-tracking tools.
- Experience supporting organizations with multiple locations or operations across several states or jurisdictions.
- Experience within retail, pharmacy, healthcare, financial services, insurance, mortgage, legal, government, or another highly regulated industry is beneficial.
