Mailroom Operations Specialist
Pay: $21/hour

Schedule: Onsite, Monday–Friday, 8:30 AM – 5:00 PM
Location: Downtown Chicago
Type: Contract-to-Hire (CTH)

Overview:
LaSalle Network is hiring on behalf of one of our clients in Downtown Chicago for a Mailroom Operations Associate! This role supports high-volume mailroom operations, ensuring timely and accurate processing of printed materials, mail distribution, inventory management, and special projects. The ideal candidate is detail-oriented, self-motivated, and thrives in a fast-paced environment.

Key Responsibilities

Machine Operation & Printing

  • Operate mailroom equipment to print 8,000–14,000 letters, receipts, and fulfillment orders daily.
  • Troubleshoot mailing inserters and postage meters; make fine-tuned adjustments as needed.
  • Prepare and process daily mailings including Q-letters, receipts, and premium orders.
  • Investigate and resolve machine discrepancies to maintain workflow efficiency.

Mail & Package Distribution

  • Sort and distribute incoming and outgoing mail and packages.
  • Collaborate with management to assess daily workflows and suggest process improvements.
  • Ensure accurate and timely delivery of internal and external communications.

Special Projects

  • Assist with manual mailings that cannot be automated.
  • Support other departments with special mailing requests.
  • Handle shipping requests via USPS, FedEx, and UPS.

Inventory & Mailroom Support

  • Monitor and replenish mailroom and fulfillment inventory.
  • Verify and document all incoming and outgoing items.
  • Follow standard operating procedures to maintain consistency and efficiency.

Skills & Qualifications

  • Ability to type at least 25 WPM.
  • Basic to intermediate proficiency in MS Word, Excel, and web-based tools.
  • Functional knowledge of industrial mailroom equipment.
  • Strong attention to detail and organizational skills.
  • Excellent oral and written communication.
  • Exceptional customer service skills.
  • Ability to lift and move packages weighing 30–50 lbs.
  • Self-starter with the ability to work independently and with urgency.
  • Team-oriented and willing to assist colleagues as needed.
  • Comfortable managing multiple tasks with interruptions in a fast-paced setting.
