Job Title: Bilingual International Administrative Coordinator
Location: Bolingbrook, IL
Duration: 3+ Month Contract
Pay Rate: $24/hour (W2)
Position Overview
Seeking a highly organized and detail-oriented Bilingual Administrative Coordinator to support international operations through project coordination, executive support, and cross-functional communication. This role requires the ability to manage multiple priorities, collaborate with global stakeholders across time zones, and ensure timely and accurate execution of projects.
Key Responsibilities
Administrative Support
Manage executive and team calendars, schedule meetings, and prepare agendas
Coordinate domestic and international travel arrangements
Ensure timely communication, follow-up, and completion of action items
Maintain professionalism, confidentiality, and accuracy in all administrative functions
Project Planning & Coordination
Support cross-functional and international projects by maintaining project plans, schedules, and timelines
Utilize tools such as SharePoint, Monday.com, or Smartsheet to track deliverables
Monitor project milestones, dependencies, and risks; escalate issues as needed
Partner with global stakeholders to ensure alignment and on-time execution
Documentation & Reporting
Maintain centralized documentation repositories with proper version control
Prepare, edit, and format professional reports, presentations, and meeting summaries
Track open issues, action items, and project risks
Communication & Collaboration
Act as liaison between international and cross-functional teams
Facilitate clear and consistent communication across departments
Foster a positive, collaborative, and solution-oriented team environment
Qualifications
Minimum 2+ years of experience in project coordination or project management
Minimum 2+ years of experience supporting multiple leaders with scheduling, calendar management, and travel coordination
Experience using SharePoint, Monday.com, and/or Smartsheet
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong written and verbal communication skills with excellent editing and formatting abilities
Highly organized, adaptable, and detail-oriented
Ability to manage multiple priorities independently and collaboratively
Professional demeanor with a positive attitude
Preferred:
Bilingual proficiency (written and verbal), based on business needs
