We are actively and immediately hiring for an Office Coordinator . In this role, you will function as the hub of our office functions and work to ensure that both our clients and internal partners are able to execute their work seamlessly. The ideal candidate for this role has a passion for providing great service, strong attention to detail, and a desire to help organizations and individuals alike take control of their financial futures.

Responsibilities:
  • Act as the primary point of contact for clients, suppliers, and internal teams, ensuring seamless communication and coordination across production, quality, and customer service teams.
  • Reach out proactively to clients to confirm order details, provide status updates, and follow up on inquiries.
  • Coordinate scheduling for leadership and client meetings, making sure that all key stakeholders are informed and prepared.
  • Prepare, review, and process client correspondence and compliance documentation with accuracy and adherence to confidentiality and regulatory standards.
  • Maintain well-organized digital and physical filing systems for client accounts, product certifications, and quality documentation, ensuring traceability and compliance with industry regulations.

Qualifications:

  • At least 1 year of experience in an office environment.
  • Excellent written and verbal communication skills.
  • Strong commitment to providing outstanding service to all clients, with proven ability to form lasting client relationships.
  • Proficiency with Microsoft Office Suite is preferred, as well as ability to learn new technologies.
  • Attention to detail and ability to manage time wisely when working on multiple projects.
