Administrator – Accounting Coordinator

Pillarhouse International Ltd is a global provider of selective soldering systems used in high-reliability electronics manufacturing. Their U.S. operation is a small, tight-knit team supporting customers across North America through equipment sales, service, and ongoing support.

This is not a layered corporate environment. It’s a lean office where people wear multiple hats, decisions move quickly, and everyone contributes to keeping the business running.

The Role

This is a true “utility player” position that sits at the center of the office.

You’re stepping into a role that combines administrative coordination, light accounting, and operational tracking. The work is not complex in isolation, but there’s a lot of it, and it requires someone who is organized, detail-oriented, and comfortable juggling multiple small tasks without dropping anything.

You’ll report directly to leadership and take ownership of many of the day-to-day responsibilities that keep the business moving.

Rough breakdown:

  • ~40% accounting support
  • ~60% administrative / operational coordination

What You’ll Be Doing

Accounting & Financial Support

  • Process billing tied to service work, quotes, and purchase orders
  • Support A/R and A/P activities
  • Reconcile expenses and validate charges against documentation
  • Assist with monthly close prep (balance checks, bank alignment)
  • Work within BusinessWorks (Sage) system (trainable)

This is not a full accounting role. You are supporting the process, not owning the books.

Operational & Administrative Coordination

  • Manage customer documentation requests
  • Upload invoices into customer portals
  • Maintain internal tracking sheets and records
  • Support phones, customer interactions, and general office flow
  • Back up responsibilities handled by a current part-time admin

What They’re Looking For

  • 1–5+ years in an office, admin, or accounting support role
  • Strong Excel comfort (not advanced modeling, but confident usage)
  • Highly organized, detail-oriented, and self-directed
  • Able to manage multiple small tasks simultaneously
  • Comfortable working in a small office without a lot of structure
  • Strong follow-through. Things don’t get dropped.

Nice to have:

  • Exposure to A/R, A/P, or billing
  • Experience with ERP/accounting systems (any system is fine)

Compensation & Benefits

  • Salary: ~$45K to 50K
  • PTO: Starts at 15 days, increases over time
  • Health: Blue Cross Blue Shield (90% employer-paid for employee)

Hours: Monday–Friday, 8:30 AM – 5:00 PM
