Administrative Assistant
Provide administrative support to the Finance Office, ensuring smooth daily operations, accurate financial processing, and timely completion of departmental tasks. Excellent communication skills and accuracy needed.
Responsibilities include:
- Daily administrative tasks including mail, messages, phone calls, filing, and meeting scheduling.
- Provide administrative support to the Finance Director, including calendar management and organization of documents and materials.
- Communicate professional with a variety of departments, vendors, and visitors.
- Process financial transactions, deposits, fund transfers, journal entries, and credit card coding.
- Enter and maintain accurate financial data in QuickBooks.
- Support annual processes including audits, annual reports, 990-T, and 1099 preparations, budget applications, holiday schedule updates, and year-end documentation.
- Prepare meeting materials, correspondence, presentations, notary and bond documents, and other project based assignments.
Qualifications:
- 3-5 years of administrative experience or financial support roles.
- Strong time management skills.
- High level of accuracy and attention to detail.
- Proficiency with QuickBooks and Microsoft Office.
- Ability to prioritize tasks, work collaboratively, and meet deadlines.
- High level of integrity and ability to handle confidential information.
