Position Overview
The Shawnee Correctional Center is looking to hire an Office Associate for their Record Office. The ideal candidate is an individual who can multitask and prioritize daily duties. The candidate will be part of supporting the record office functions, ensuring tasks are done accurately and timely. Essential Functions
- Monitors to ensure that transfers in and out of the facility, medical furloughs, and court writs are processed according to department policy and record office procedures.
- Tracks and updates various changes in the individual in custody master file.
- Prepares daily institutional verified count and report same to Central Office.
- Enters and files parole and violation board orders upon completion of hearings.
- Assists in maintaining master files, ensuring they are complete, accurate and up to date.
- Keyboards law enforcement and other outside government agency notification letters and record office correspondence reports and documents including legal terminology applying understanding of terms to ensure clarity and accuracy.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of high school.
- Requires two (2) years of office experience.
- Requires ability to keyboard accurately at 45 wpm.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of the position held, is prohibited.

- Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
