Job Title: Administrative Assistant II/ Accounting

Location: East Saint Louis, IL

Duration: 6 months with high possibility of extension

Pay Rate: $27.50.00/hr.

Job Description:
Responsibilities:

• Access the guardian accounting system working daily and monthly inventory closes
• Access the Trac66 accounting system working daily and monthly inventory closes
• Reconcile daily Ethanol and Butane receipt to guardian accounting system
• Record and properly file any environmental paperwork as required
• Answering phone as needed
• Allowing access to facility as needed
• Reviewing and entering trailer paperwork into guardian system
• Communicate with carriers as needed around driver/loading issues
• Ordering office supplies as needed
• Other office duties as needed
• Interact with internal staff and external business contacts
• Schedule meetings as well as catering arrangements, maintaining meeting agenda and materials
• Create, revise, analyze proof-reading, and distribute various types of documents, presentations, and spreadsheets (Microsoft Excel, Word, PowerPoint, Outlook).
• Prepare monthly and quarterly reports as required
• Make travel arrangements, prepare itineraries and managing calendars
• Manage office supply inventory and order supplies as needed
• Distribute mail and arranging shipment of packages

Basic Qualifications:

• High school diploma/GED
• Advanced proficiency in Microsoft Word, Excel and PowerPoint; Outlook and Sharepoint
• Experience in administrative support

Preferred Qualifications:

• Knowledge of Livelink Document Management features
• Recent work experience in dealing with building facilities-managing office space
• Proficient with SAP, Livelink/EDMS and CATS
