IL APEX Accelerator (APEX) Project Coordinator at the Illinois Hispanic Chamber of Commerce (IHCC)

JOB DESCRIPTION

Under the direct supervision of the Program Director, the Project Coordinator supports the delivery, coordination, and tracking of a no-cost technical assistance program designed to help small businesses access government contracting opportunities. This role ensures smooth program operations, effective client engagement, and timely execution of workshops, one-on-one advising, and partner activities. The ideal candidate is organized, proactive, and passionate about helping businesses navigate procurement processes.

The IL APEX Accelerator is managed by the Department of Commerce and Economic Development (DCEO) and is funded by the United States Department of Defense (DoD).

REPORTS TO: Director of the IL APEX Accelerator (APEX) at the Illinois Hispanic Chamber of Commerce (IHCC)

Key Responsibilities:

Program Coordination and Operations

● Serve as the primary point of contact for clients, responding to inquiries and scheduling advising sessions.
● Maintain program calendars, outreach timelines, and activity trackers.
● Support the creation, distribution, and translation (if applicable) of program materials, forms, and resources.
● Track client progress, follow-up needs, and service delivery timelines.
● Assist Program Director with daily program functions

Workshops and Events

● Assist with planning, logistics, and execution of workshops, training, and outreach events.
● Manage event registration, attendance tracking, materials, and on-site setup.
● Assist as needed during program and host center events
● Participate in outreach events to share resources, identify potential clients, and expand program footprint

Client Support

● Prepare status updates and follow-up communications to ensure continued engagement.
● Maintain accurate records of client interactions, services delivered, and milestones in CRM
● Engage in continuous professional development to strengthen the ability to provide tailored technical assistance to clients in virtual and in-person settings

Requirements

● Bachelor’s degree business administration, public administration, or related fields.
● At least 2 years of experience working with small businesses, government programs, or technical assistance preferred.
● Strong organizational skills, attention to detail, and ability to multitask.
● Excellent communication skills.
● Ability to work with diverse communities and stakeholders.

Salary range: $62-$65,000, depending on experience.
