Description:

The American Red Cross is seeking an experienced Executive Assistant to provide high-level, confidential support to the Division Vice President of the Pacific Division. This fully remote position allows you to work from the Central Time Zone with occasional collaboration on Pacific Time business hours. The Executive Assistant will serve as a trusted partner in managing priorities, communications, and the overall efficiency of the executive office, ensuring seamless administrative, logistical, and operational operations. Occasional travel may be required a few times per year.

Key Responsibilities:

  • Maintain the executive’s calendar, scheduling meetings, appointments, travel, and visits to field or operating units. Prepare agendas and materials for high-level meetings.
  • Draft memos, correspondence, and reports for executive review or signature, ensuring consistency with organizational policies.
  • Conduct research and perform analytical tasks on behalf of the executive regarding operational issues, initiatives, and cross-departmental projects.
  • Screen and coordinate incoming calls for the executive, ensuring proper follow-up.
  • Manage office communications and coordinate activities on behalf of the executive.
  • Support, develop, and provide guidance to volunteers and internal stakeholders.
  • Represent the executive office professionally in all internal and external interactions.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Streamline administrative workflows to relieve executive leadership from complex administrative duties.

Minimum Qualifications:

  • Associate’s Degree required.
  • Minimum 7 years of related experience or equivalent combination of education and experience.
  • Ability to work with multiple executive levels and across functional teams.
  • Excellent verbal and written communication skills; proficient in Microsoft Office Suite.
  • Strong attention to detail, organizational skills, and customer service focus.
  • Ability to work effectively as part of a team and independently when required.
  • Occasional travel may be necessary to support executive needs.

Preferred Qualifications:

  • Experience in project management, including planning, tracking, and executing initiatives aligned with executive priorities.
  • Ability to manage multiple competing tasks in a fast-paced environment while maintaining accuracy and attention to detail.
  • Skilled in navigating high-demand and high-urgency situations with sound judgment, composure, and resourcefulness.

Physical Requirements:

  • Typical office environment conditions with flexibility to meet sudden operational needs.
  • Proficiency in computer use, applicable software, and office equipment.
  • May include extended periods of sitting, driving, and working under various conditions.

Compensation and Benefits:
