Permit Clerk (Account Clerk)
Summary
The Village of Lincolnwood, Illinois (13,463 – 2020 census) is a diverse home-rule municipality directly north of the City of Chicago, consisting of 2.7 square miles, with a unique blend of residential, commercial, and industrial areas. The Village is seeking a detail-oriented professional who is committed to providing excellent customer service to serve as the Village’s Community Development Permit Clerk (Account Clerk). This position serves under the direction of the Building Official.
A background and experience working in zoning, building, and planning is highly desired. Excellent verbal/written communication skills and the ability to exercise sound judgment are required. Strong customer service skills are also essential, as this position regularly interacts with residents, contractors, and businesses to provide information, resolve inquiries, and ensure a responsive and helpful experience
Essential Duties and Responsibilities
The Permit Clerk (Account Clerk) responsibilities include but are not limited to:
- Providing primary support for the department’s front counter operations
- Accepting plans and applications, and directing submittals to the appropriate reviewer to coordinate the review process
- Preparing and maintaining accurate financial records of fees and deposits received, including tracking of payments, reimbursable costs, and project charge-backs
- Answering the department’s general telephone line, responding to general inquiries, recording complaints or service requests, and/or directing calls to the appropriate party
- Scheduling inspections and coordinating with inspectors and other departments to ensure timely follow-up on inspection results, violations, and compliance issues
- Preparing department check requests and requisitions for review and approval
- Assembling timesheets and preparing the department’s payroll submittal
- Monitoring expired permits and notifying applicants or contractors of required actions for reactivation or closure
- Supporting department staff with research and data related to community development projects and initiatives
- Recommending process improvements and contributing to a positive, team-oriented work culture
Required Skills/Education/Experience
A high school diploma or general education degree (GED) is required with one to two years of clerical or data entry experience. Experience in Community Development or a Building Department is preferred. The successful candidate would possess the ability to deal with the public tactfully and courteously, along with the ability to use a variety of computer programs such as Microsoft Office Suite, Excel, Springbrook, and LAMA software.
Hours and Compensation
The current salary range for this position is$57,695 to $77,889. This position is classified as a full-time, non-exempt, non-union, at-will position. All applicants must be able to work between the hours of 8:00 a.m. to 5:00 p.m., as directed, Monday through Friday. The position will be regularly scheduled to work from 9:00am to 5:00pm.
