Position Summary

The Event Center Manager supports the daily operations, coordination, and overall success of the Graham Hospital Foundation Event Center. This role helps ensure events run smoothly, assists clients throughout the planning process, and works collaboratively with catering partners, vendors, and internal teams. The Event Center Manager plays a key role in maintaining a positive client experience and maximizing usage of the event center’s calendar.

Position Accountabilities

Event Coordination and Client Services

Serve as the primary point of contact for event inquiries, client walkthroughs, and general questions.

Guide clients through the booking process, including proposals, contracts, timelines, and planning details.

Maintain a customer-focused experience with timely, professional communication.

Oversee event setup and execution to ensure all details meet client expectations and venue standards.

Assist clients with room layouts, AV needs, equipment requests, décor planning, and day-of support.

Venue Operations

Ensure the venue is clean, organized, and event-ready at all times.

Coordinate with facilities staff for room setup, teardown, maintenance, and housekeeping needs.

Maintain inventory of event supplies, décor, and equipment, ensuring all items are well-maintained and in good working order.

Uphold venue policies, safety procedures, and operational standards.

Catering & Vendor Coordination

Collaborate closely with Cornerstone Catering to plan and support all food and beverage needs.

Communicate event timelines, headcounts, and service expectations to the catering team.

Work with preferred vendors (AV, décor, rentals, entertainment, photographers) to coordinate logistics and deliveries.

Scheduling and Calendar Maximization

Manage the event center calendar to ensure efficient scheduling and strong venue utilization throughout the year.

Respond to inquiries promptly and follow up consistently to secure bookings.

Closely monitor inquiries and scheduled events, and follow up with interested clients to help the team stay organized and prepared.

Marketing & Community Engagement

Partner with the Marketing and Business Development teams to promote the event center through social media, brochures, campaigns, and outreach.

Attend trade shows, bridal expos, and community events to showcase the venue.

Represent the event center with professionalism and enthusiasm.

Administrative Support

Maintain accurate contracts, event files, calendars, and client communication logs.

Assist with deposit tracking, invoicing, and post-event summaries.

Prepare monthly booking reports and event summaries for hospital leadership.

Position Qualifications

Bachelor’s degree in hospitality, business, communications, event management, or a related field preferred; relevant work experience may substitute.

1–3 years of experience in event coordination, venue management, hospitality, customer service, or related roles.

Proficiency with basic computer applications, including email, calendars, spreadsheets, and word processing.

Ability to learn and use event management or scheduling software.

Comfortable creating simple documents, forms, and event layouts.
