Assistant to the Executive Director Location Bedford Park, IL : The Institute for Food Safety and Health ( IFSH ) is a consortium among IIT , FDA's Center for Food Safety and Applied Nutrition ( CFSAN ), and the food industry. IFSH comprises IIT scientists and staff, FDA scientists of CFSAN's Division of Food Processing Science and Technology physically co-located in the building, and industry member companies. IFSH is a unique and one-of-a-kind institute in the nation where FDA , academia and the industry join forces and conduct research in a neutral ground to address major national food safety and nutrition issues. The position of Asst to the Executive Director will assist the Executive Director and Associate Director in a variety of general office duties and the capacity to help accomplish day-to-day activities. COMMUNICATIONS Written, verbal and electronic communication will be required as well as direct contact with internal staff, sometimes with students and with industry members as well as visiting representatives. CUSTOMER SERVICE Good customer service will be involved both internal and external with representation for the Executive Director's Office. Qualifications Education & Experience High School Diploma or GED Knowledge & Skills Basic Microsoft office experience is essential with the ability to use Outlook form maintaining calendar, schedule meetings and maintain contacts. Higher level technical computer knowledge is always a plus. SUPERVISION & BUDGET AUTHORITY No budget or supervisory responsibilities Physical Environment and Requirements 70% fo the time will be sitting and working on a computer May need to lift 20 pounds Certifications and Licenses List any certifications or licenses that are either required or helpful in performing the job, designating whether required or preferred. Not applicable Key Responsibilities Key Responsibility Management of calendars, scheduling of meetings, events, visits, tours, etc. Assist with set up for tours and meetings with perspective members and important guests, which can include preparation of membership packets, name badges, room refreshments, lunches, and other essentials. Percentage Of Time 15 Key Responsibility Manage and support travel arrangements, meeting registrations, hotels, etc. for the Directors business travel and prepare itinerary and update calendars with all relevant information. Percentage Of Time 20 Key Responsibility Filing, organizing and cataloging all documents in proper order to enable smooth referencing and retention of pertinent information. Percentage Of Time 30 Key Responsibility Assist with organizing and facilitating internal events for IFSH and manage system for reserving meeting rooms. Percentage Of Time 15 Key Responsibility Ensure general aspects of day-to-day activities in stocking of essential office items to ensure the staff have items at hand.
