About the Role
Logistics Property Company, LLC, a leading industrial real estate developer and investor headquartered in Chicago, is seeking a full-time Executive Assistant to support one key executive. In this role, you'll provide comprehensive administrative and office support with the highest standards of integrity and organizational excellence. You'll be instrumental in ensuring smooth operations and enabling executive productivity through meticulous attention to detail and proactive problem-solving.
Key Responsibilities
- Schedule and manage all executive activities including travel arrangements, internal and external business meetings, investor and third-party appointments, conferences, and office events
- Maintain and optimize calendar management to maximize executive availability and efficiency
- Prepare professional correspondence, documents, and materials with careful attention to detail
- Manage document execution processes through Adobe Sign and similar digital tools
- Update documents and process edits and revisions with accuracy and timeliness
- Maintain organized databases and filing systems that support seamless information retrieval
- Prepare and process expense reports with precision and compliance
- Assist with invoice processing and payment management for both personal and professional accounts
- Coordinate and support event logistics for on-site and off-site meetings
- Collaborate with the internal Executive Assistant network to drive operational efficiencies across the organization
- Handle confidential internal and personal communications with the utmost discretion and integrity
- Coordinate visitor management and building access with facility management
- Support various Chicago office operations and special projects as needed
- Contribute to overall company operational efficiency through flexibility and initiative
Required Qualifications
- Minimum 10 years of professional experience in an office or executive assistant support environment
- Exceptional written, organizational, and verbal communication skills
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Proficiency with Adobe and document management tools
- Professional interpersonal skills with the ability to interact effectively with employees at all organizational levels and external stakeholders
- Strong discretion and ability to handle confidential information with integrity
- Demonstrated ability to manage multiple priorities and meet deadlines
Nice-to-Have Skills
- Experience in the real estate or investment management industry
- Experience supporting C-level executives
- Knowledge of travel management and expense reporting systems
Compensation
This role offers a competitive base salary ranging from $70,000 to $90,000 annually, plus performance bonus. Compensation reflects the company's good faith estimate based on market data and internal equity considerations.
