Position Overview:


The Illinois Commission on Equity and Inclusion (CEI) is seeking to hire an organized, professional, and results oriented individual to serve as the intake specialist for CEI and the Business Enterprise Program. Under general direction of the Chief of Staff, this individual performs functions related to general office support and customer service. Duties will include serving as the frontline receptionist, formulating documents or memoranda, reviewing application material of BEP applicants, and translating functions/procedures for individuals who cannot read or speak English. Essential Functions

  • Under direction, serves as the primary administrative coordinator for meetings related to issues of minority, women, and persons-with-disabilities owned businesses in State of Illinois contracting and diversity and inclusion in State of Illinois employment.Produces accurate, complete, and timely meeting minutes, in accordance with the Open Meetings Act, Roberts Rules of Order and CEI policies for all public meetings and hearings administered or managed by CEI. After approval, posts the minutes in accordance with the Open Meetings Act.
  • Provides scheduling and administrative support for other meetings related to the work of the Commission on Equity and Inclusion, Business Enterprise Program Council, Business Enterprise Program Council Subcommittees, African American Family Commission, Asian American Family Commission, Latino Family Commission, Muslim American Advisory Council and Special Committee.
  • Completes special projects related to the work of the Business Enterprise Program Council, Business Enterprise Program Council Subcommittees, the Fair Practices in Contracting Task Force, the African American Employment Plan Advisory Council, the Hispanic Employment Plan Advisory Council, and the Asian-American Employment Plan Advisory Council.
  • Provides administrative support to the Commission on Equity and Inclusion management teams, as well as CEI leadership, including but not limited to making travel arrangements, completing travel forms, ordering supplies for the department, scheduling meetings, reserving rooms, printing and organizing program-related materials, assisting with the creation of reports, including those statutorily required, etc.
  • Serves as the back-up for BEP’s primary front desk staff person in his/her absence.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
  • Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications

  • This position prefers one (1) year of professional experience working with the requirements of the Open Meetings Act.
  • This position prefers one (1) year of professional experience preparing official meeting minutes.
  • This position prefers one (1) year of professional experience with Roberts Rules of Order.

Conditions of Employment

  • Requires the applicant to pass a background check.
  • Requires ability to travel in the performance of duties, with overnight stays as appropriate.
  • Overtime is a condition of employment, and applicant may be required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime.
