Are you organized, reliable, and eager to learn in a dynamic business environment? Our service company, serving condominium buildings, commercial properties, property management firms, and residential clients, is seeking a part-time assistant to support our Office Operations Manager. You will help keep our daily office operations running smoothly, contribute to administrative and financial processes, and play a key role in ensuring exceptional service delivery.
Key Responsibilities
- Assist with dispatching and scheduling field technicians for service calls and maintenance.
- Support recruitment, onboarding, and training activities for new team members.
- Help draft, organize, and renew service contracts and client communications.
- Process invoices, track payments, and contribute to basic accounting tasks.
- Maintain office supplies, inventory, and vendor coordination.
- Support compliance tracking for licenses, insurance certificates, and regulatory documents.
- Perform general office duties to ensure a well-organized and efficient workspace.
- Run errands as needed, including going to stores, dropping off or picking up parts, keys, and other materials at various locations.
Qualifications
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency with cloud-based software platforms and basic office technology.
- Attention to detail and commitment to confidentiality.
- Ability to reliably run errands, travel locally, and manage time efficiently.
- Previous administrative, operations, or customer service experience preferred.
