Medical Office Scheduler

We are a growing multi-location Rheumatology and Chiropractic practice seeking an experienced Medical Scheduler to join our team. The ideal candidate will be a detail-oriented, proactive, and compassionate professional with prior healthcare scheduling experience. This role will serve as the central point of contact for scheduling appointments across three locations and support our expanding provider team.

Key Responsibilities:

• Manage and coordinate patient appointments for multiple providers across three office locations.
• Schedule new patient consultations, follow-ups, infusions, and referrals using the electronic health record (EHR) system.
• Verify insurance information prior to scheduling appointments when needed.
• Communicate effectively with patients regarding appointment instructions, confirmations, and any scheduling changes.
• Coordinate with clinical and administrative staff to ensure smooth patient flow and reduce scheduling conflicts.
• Monitor provider schedules and optimize for efficiency and productivity.
• Track and fill cancellations or open slots to ensure maximum utilization.
• Maintain up-to-date knowledge of provider availability and office hours at each location.
• Provide excellent customer service to patients, ensuring a positive experience with each interaction.
• Assist with scheduling-related reporting and administrative duties as needed.

Qualifications:

• Minimum 2 years of healthcare scheduling experience in a medical office or outpatient clinic.
• Proficiency with EHR systems (E-Clinical Works).
• Strong communication and interpersonal skills.
• Ability to multitask in a fast-paced, multi-location environment.
• High school diploma or equivalent.

Preferred:

• Experience in Rheumatology, Chiropractic, or specialty care setting.
• Bilingual in English and Spanish.
• Familiarity with insurance verification and patient intake processes.

Work Environment:

• Primary scheduling location will be based out of our Schaumburg office.
• Must be comfortable working with a centralized scheduling model.
