Accounts payable specialist

Job Description: The Accounts Payable Specialist is responsible for processing invoices and payments, managing vendor relationships, and reconciling accounts to ensure accurate and timely financial records. The role involves verifying invoices against purchase orders, entering data into accounting software, processing checks and electronic payments, and communicating with vendors about payment status. Additional tasks include account reconciliation, preparing reports, and assisting with month-end closing procedures.

Responsibilities:

  • Review invoices for accuracy and proper authorization.

  • Enter invoice data into accounting software.

  • Process payments via check or electronic transfer.

  • Communicate with vendors regarding invoice status, requests, and inquiries.

  • Maintain organized vendor records.

  • Reconcile vendor statements and update the general ledger.

  • Maintain copies of all accounts payable documentation.

  • Investigate and resolve discrepancies or issues with invoices or payments.

  • Provide supporting documentation for internal or external audits.

  • Assist with month-end closing processes.

  • Review, verify, and match invoices to purchase orders.

Qualifications:

  • Proficiency in Microsoft D365 F&O.

  • Strong Accounts Payable experience (5+ years preferred).

  • Proficiency in Microsoft Office, especially Excel.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.

  • Analytical and problem-solving abilities.

  • Bachelor's degree in Accounting, Finance, or related field (preferred, not required).

  • Experience with high-volume invoice processing (400-800 invoices weekly).

  • Familiarity with Culture Index assessment process (for interview prep).

Work Environment: This is an onsite role with hours from 8-4 or 9-5, depending on the candidate's preference. The work environment features a small AP team, currently comprising 2 people. It is mostly heads-down work with some vendor and internal communication. Our office is newly renovated with writing walls, collaboration tables, a low cubical setting, and an outside patio. The open landscape fosters a collaborative, team-oriented atmosphere. The building is 5 years old, located in Rolling Meadows, and features monthly birthday breakfasts, with each team having their own area for collaboration and communication.

This is a Contract to Hire position based out of Rolling Meadows, IL.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
