Account Manager, Commercial Lease Administration

Job Description Summary:
The Account Manager provides overall strategic management support of lease administration services to our client accounts including the planning, organizing, staffing and financial performance. The Account Manager serves as the clients external partner to establish lease administration operation standards and strategic objectives.
Principle Duties and Responsibilities:
- Partner with clients to provide ongoing Lease Administration support to manage their Real Estate and equipment portfolios.
- Manage lease documentation, including lease amendments, equipment agreements, sublease agreements, renewals and extensions, tenant estoppels and ancillary real estate documents.
- Provide database management support and efficient management of day-to day operations and tasks.
- Accurately interpret, manage, and track ongoing lease abstraction for the timely and correct payment of rent and other financial obligations.
- Perform second level quality check of lease abstraction to validate lease data and attributes for completeness and accuracy.
- Review, track and monitor key lease provisions such as options, expirations, kick-outs, tenant improvement allowance, percent rent reporting and co-tenancy. Report back to client on any potential discrepancy or violations.
- Process and facilitate payment of real estate related invoices, including but not limited to, rent, percent rent, common area maintenance, insurance, real estate tax, utilities and other rebillable expenses.
- Prepare invoices for subtenants, reconcile subtenant accounts, track and record receivables associated with sublease tenants within lease administration database.
- Perform annual operating expense reconciliations, monitor audit windows, and audit requirements contained in the lease documents. Actively track and identify any potential cost savings or discrepancies.
- Review, track and analyze CPI or other rent escalations and amortization schedules for capital improvement repairs. Ensure compliance with landlord and tenant obligations and validate the terms are in-line with the lease documents.
- Establish and maintain strong working relationship with client and conduct periodic meetings to review ongoing lease administration operations and tasks.
- Actively monitor client profitability by assessing procedures, system tools, and resources to identify opportunities to increase profit margin.
- Assist client in resolving critical issues by researching and gathering information about payment transactions, lease terms and other relevant items as requested.
- Prepare and distribute critical date reports; assist with the development of ad hoc reports as needed to support routine reviews, accounting, and financial reporting needs.
- Develop, implement, and maintain procedures and systems to continually improve and streamline lease administration processes.
- Act as single point of contact for any lease administration concerns.
- On a daily basis promote, practice and adhere to Scribcor s core values.
Education and Experience Qualifications:
- Bachelors degree preferred
- 3+ years of experience in Property Management and/or Lease Administration functions
- Proven track record of lessee-focused commercial lease administration and decision-making responsibility for enforcing lease rights
- Prior experience with commercial leases and lease administration/lease accounting software preferred
- Paralegal certificate preferred, but not required

- Ability to read and interpret legal language
- Knowledge of monthly rent payment processing requirements and strong understanding of complex accounting calculations
- Proficient with MS Office Programs
Physical Demands:
The physical demands represent the requirements employees must be able to perform the essential job functions with or without reasonable accommodations.
- Regularly required to sit, stand, write, review and type reports, compile data, operate a computer, communicate, listen, and assess information. Visual requirements also include distant, close and color vision, and ability to adjust focus.
- The employee may move about the office complex, may travel to other office locations, walk far distances, and may lift, push, pull or move up to 25 pounds.
