Office Manager Assistant
Job Overview
We are seeking a dynamic and organized Office Manager Assistant to join our team! This energetic role is vital in ensuring the smooth operation of daily office activities, supporting administrative functions, and providing exceptional customer service. The ideal candidate will thrive in a fast-paced environment, possess excellent organizational skills, and demonstrate a proactive attitude. As an Office Manager Assistant, you will be the backbone of our office operations, helping to create an efficient, welcoming, and productive workplace.
Duties
- Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and providing outstanding phone etiquette.
- Handle calendar management and scheduling for team meetings, appointments, and personal assistance needs.
- Perform data entry, maintain filing systems, and ensure accurate record-keeping using Microsoft Office and Google Workspace tools.
- Support customer service efforts by addressing inquiries promptly and professionally while maintaining a positive office environment.
- Assist with obtaining permits and utility interconnections for solar projects
- Communicate with cities, counties, utilities, and homeowners
- Make outbound and follow-up calls regarding projects and documentation
- Draft, review, and organize contracts and project documents
- Track projects and provide updates using ClickUp.
Qualifications
- Strong organizational and communication skills
- Experience with Microsoft Excel, Word, and OneDrive
- Ability to multitask and manage priorities efficiently
- Detail-oriented with strong follow-up skills
- Professional phone etiquette and customer service experience
- Self-motivated with initiative and problem-solving abilities
- Ability to work independently and as part of a team
Preferred Qualifications
- Experience in construction, solar, or related industries is a plus
- Experience with permits, project coordination, or scheduling is preferred
- Bilingual (English/Spanish) is a plus
- Familiarity with ClickUp or other project management software is a plus
