Position Summary
We are seeking a solution-driven, bilingual Operations Coordinator to manage daily dispatching, scheduling, and client communication. This role is the central hub of our operations — balancing patient needs, driver schedules, and compliance requirements. The ideal candidate combines technical skills, problem-solving ability, and people skills, ensuring that every trip is completed safely, on time, and with compassion.

Key Responsibilities

• Dispatch & Scheduling
• Assign and coordinate trips in real time, balancing stretcher and wheelchair transports.
• Monitor active trips, reroute as needed due to traffic, cancellations, or urgent requests.
• Track completion of trips and resolve any issues immediately.
• Client & Patient Communication
• Serve as the first point of contact for patients, families, and healthcare facilities.
• Communicate clearly and professionally in both English and Spanish.
• Provide updates on trip details, delays, or schedule changes.
• Follow up on appointments and ensure customer satisfaction.
• Operations & Compliance Support
• Maintain accurate trip logs, schedules, and compliance documents.
• Support driver onboarding, credentialing, and ongoing training requirements.
• Order and manage office/vehicle supplies (e.g., PPE, medical supplies, forms).
• Assist the Owner with administrative and operational tasks.

Core Qualifications

• 1+ year of experience in dispatching, logistics, or transportation coordination (NEMT, EMS, trucking, or paratransit preferred).
• Knowledge of medical transport needs (especially stretcher transports, safety protocols, loading/unloading).
• Proficiency with NEMT dispatch software, GPS, routing tools, and Microsoft Office/Google Workspace.
• Awareness of HIPAA, ADA, and local/state transport regulations.
• Bilingual – English/Spanish (required).

Preferred Certifications/Training

• CPR/First Aid (preferred).
• Defensive Driving or transportation safety training (preferred).

Work Schedule

• Part-time; hours may vary depending on trip schedules.
• Some weekend or evening availability may be required.

Compensation

• $18/hour starting pay.
