Kalle USA is a market leader in the production of casings and nettings for the meat processing industry. In the US we employ more than 300 people at two locations, Illinois and California. For our plant in Gurnee, IL. we are looking for an HR Assistant/Receptionist.
Job Description
The Human Resource Assistant / Receptionist provides administrative support to the Human Resources department while managing front desk and reception responsibilities. This role serves as the first contact for visitors and employees, ensuing professional, organized, and welcoming environment while supporting daily HR functions, recruitment, onboarding, and employee record management.
Essential Functions
- Welcome and assist guests, visitors, and employees with professionalism and courtesy.
- Provide administrative support to the HR Manager with day-to-day HR operations.
- Support internal and external inquiries related to Human Resources.
- Coordinate recruitment activities, including candidates screening, scheduling interviews, and communications.
- Coordinate onboarding activities for new hires.
- Prepare new hire and employees benefits paperwork packets.
- Create, assign, and manage employee security badges.
- Coordinate logistics for new hire safety orientation sessions.
- Organize, maintain and update employee personnel records in compliance with confidential standards.
- Verify hourly employee timecards and process daily hours report through ADP Workforce.
- Process ADP transactions including new hire, PTO requests, benefit deductions, safety shoe reimbursement and other payroll updates.
- Assist with biweekly payroll activities including check separation and distribution.
- Coordinate employee training programs and certifications.
- Track training progress and maintain records in HIS/LMS management systems.
- Reconcile benefits statements and conduct audits of payroll, benefits, and HR programs.
- Create employee birthday, anniversary and new hire announcements for internal communications TV postings.
- Assist EHS Specialist with employee engagement safety projects.
- Coordinate employee engagement activities, and HR related events.
- Perform additional duties and special projects as assigned.
Qualifications
- Minimum of 2-4 years of Human Resources and/or administrative experience required. High School Diploma or GED required. Bachelor’s degree in human resources or related field preferred.
- Strong organizational, multitasking, and time management skills with the ability to prioritize responsibility effectively.
- Ability to maintain a high level of confidentiality and professionalism.
- Excellent interpersonal and communication skills with the ability to work collaboratively across departments.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
- Experience with ADP Workforce Now or other HRIS program a plus.
- Bilingual – Spanish a plus.
