Administrative Assistant
The administrative assistant/receptionist will be a detail-oriented and organized individual who will be responsible for answering phones in a FAST-PACED environment as well as working as a team member to our Service, Inspections and Projects Departments performing various administrative tasks as required. Job Duties: Answer incoming telephone calls on a multi-line phone and route callers accordingly Greet guests and customers, vendors and suppliers and employees throughout the day Assist dispatch coordinator with deficiency log and follow up emails to customers Assist dispatch coordinator and sales team with customer quotes and logs information Assist engineering team with getting permits and completing forms Assist with accounting team scanning, copying and mailing Review and contact customers regarding fire alarm monitoring errors Log and coordinate conference room schedule Stamps, sorts, opens and delivers mail Maintain office equipment and order office supplies Clean and stock the kitchen and stock the bathroom with supplies Assist with employee and customer events, including holiday party planning, customer lunch orders and thank you cards Miscellaneous job duties and projects as assigned Job Requirements: Must be professional, friendly, pleasant and have a positive attitude Must be punctual and reliable Must have good verbal and written communication skills Must be able to multi-task Must be able to work individually and as part of a team environment Good computer skills – Word, Outlook, Access and Excel Must be eligible to obtain a PERC card (Permanent Employee Registration Card) in which Affiliated will pay for the process
