Company Management Assistant
REPORTS TO: Director of Company Management

Lyric’s Company Management department provides general operational and logistical support for all Lyric stage productions. The department also serves as the primary point of contact for all artists leading up to and during their time at Lyric. The Company Management Assistant provides general administrative and clerical support for all backstage and departmental activities during Lyric’s seasonal rehearsal and performance periods.
DUTIES AND RESPONSIBILITIES:
- Demonstrate leadership in accordance with Lyric’s mission and vision.
- Collaborate with the Director, Manager, and other Company Management Assistants to ensure proper departmental staffing and administrative/clerical support of all backstage activities both at the Lyric Opera House and at off-site venues.
- Support scheduling functions when requested by communicating daily and weekly schedules and schedule changes to artists and staff; coordinating wig & makeup and wardrobe fittings; proofing daily and weekly schedules for accuracy; and assisting in editing schedules.
- Assist with booking and tracking travel and housing for artists and creative personnel.
- Support visa application processes for international artists.
- Provide general administrative support for the department, including answering phone calls and emails, requisitioning supplies, disseminating daily schedules, facilitating department communications, and assisting with backstage administrative needs.
- Provide unique artists’ services including but not limited to processing ticket orders, booking doctor’s appointments, filling out and filing accident reports, and facilitating backstage guest requests.
- Post chorus sign-in sheets, follow up with tardy or absent artists, and communicate all information to select Lyric staff.
- Assist in enforcing backstage policies, including practice room usage, building access for employees and guests, and general building safety policies. Coordinate with other departments as needed to ensure compliance.

KNOWLEDGE AND SKILLS:
- Minimum of one (1) year of administrative experience and one (1) year of customer service experience required.
- Strong organizational skills with attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
- Excellent interpersonal and communication skills, with the ability to work independently and collaboratively with artists, administrators, and staff at all levels.
- Awareness of situations requiring integrity and discretion, with proven ability to maintain confidentiality.
- Ability to enforce institutional policies with professionalism and diplomacy.
- Proficiency in Microsoft Office 365 applications (Outlook, Word, Excel, SharePoint) and other standard office and collaboration tools preferred.
- Familiarity with company management or arts administration software a plus.
- Familiarity with unionized performing arts environments a plus.
- Interest in and knowledge of opera and other classical music genres preferred.
WORK CONDITIONS:
- Evening and weekend work required in alignment with rehearsal, performance, and event schedules, both at the Lyric Opera House and at off-site venues.
- Frequent movement between office, rehearsal, backstage, and performance environments; this role does not operate in a traditional quiet office setting and often works in shared spaces with constant activity.
- Workload follows the rhythm of the rehearsal and performance schedule, with periods of high intensity, periods of little to no activity, and other times with frequent interruptions and people in the workspace.
- Ability to work in a fast-paced environment and adapt to shifting priorities.
- Ability to operate a computer keyboard, mouse, telephone, and other standard office equipment.
- Ability to lift up to 25 pounds.
COMPENSATION :

Job Classification: Full-Time; Non-Exempt; Seasonal Salary is $19.00 per hour
Duration: 22 weeks roughly/40 hours per week (ASAP-Nov 30, 2025; January 5-April 26, 2026)
