Student Financial Services Assistant

The Student Financial Services Assistant will assist the Student Payroll Coordinator, Assistant Director of Financial Aid, and Assistant Director of Awarding in different areas of the Student Financial Services operation as needed. This position will be filled with a versatile individual who is able to assist internal and external customers on a daily basis as well as performing numerous administrative and clerical duties within the department.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Counsel, train and assist students and student employment supervisors with AIC/SAIC s Time and Attendance software ARTICtime, and Work Authorization in PeopleSoft
- Certify and process I-9 documents by verifying original Federal and State documents to determine eligibility of employment in the U.S.
- Investigate and resolve student s Direct Deposit payroll issues
- Resolve payroll discrepancies by collecting and analyzing information
- Counsel and assist students with the I-9, Federal and State Tax form process
- Partner with AIC payroll regarding to reissuance of Student Payroll paychecks (direct deposits and paper checks)
- Ensure and monitor that all Student Payroll paychecks containing FWS funds have been reconciled
- Generate and review reports (Exceptions, Uncashed Checks, Student Earnings, Authorized vs Actuals, I-9s, etc.)
- Assist students and supervisors via phone and/or email regarding Student Payroll issues
- Create/distribute training documents for supervisor and students
- Verify Student employment eligibility for students and supervisors
- Assist SFS Advisors and other staff with student earning reports: verify individual earning reports for accuracy in amount by increasing/decreasing work study eligibility
- Assist the Student Payroll Coordinator to help monitor SAIC s compliance in FWS program
- Be the primary backup to the Student Payroll Coordinator (closing the student payroll periods, revising work authorizations, etc.)
- Assist the Assistant Director of Financial Aid with the processing of scholarships and the swap process
- Assist the Assistant Director of Awarding with processing of verification documents during the spring packaging cycle
- Assist Assistant Director of Financial Aid with special projects
- Other duties as assigned
QUALIFICATIONS
- High school graduate or GED plus
- 1-2 years of higher education student services or customer service experience
- Experience with Google Suite
or
- Associates Degree (or equivalent college credit) with no experience
