Sales & Customer Support Coordinator
Location: Buffalo Grove, IL (On-site)
Schedule: Full-time | 8:00 AM – 4:30 PM (30-minute lunch)
Position Summary
We are seeking a high-energy, detail-driven Sales & Customer Support Coordinator to join our fast-growing U.S.-based lighting and solar manufacturing company.
In this role, you will be the first point of contact for customers, support the VP of Sales, manage proposals and documentation, and ensure every customer enjoys a smooth, professional experience from first inquiry to final delivery.

Key Responsibilities
1. Inbound Lead Management & Customer Communication
- Handle all inbound inquiries from phone, email, website forms, trade shows, and referrals.
- Respond quickly and professionally to customer questions.
- Qualify customer needs and forward leads to the appropriate sales team member.
- Maintain accurate customer records and activity logs in Zoho CRM.
2. Sales Operations Support (Right Hand to VP of Sales)
- Assist the VP of Sales with daily follow-ups and priority action items.
- Schedule meetings, video calls, and job-site visits.
- Prepare presentations, product documents, agendas, and follow-up notes.
- Track tasks and ensure deadlines are met.
3. Proposal, Sales Order & Documentation Management
Prepare polished, complete proposal packages including:
- Cover page
- Quotation
- Lighting design (from engineering team)
- Spec sheets
- Warranty documents
- Project-specific attachments
Plus:
- Create and manage sales orders, invoices, and shipping orders with accuracy.
- Send customers order status updates, shipping ETAs, and delivery confirmations.
- Maintain an organized digital library of all proposals, documents, and project folders.
4. Customer Support & Project Coordination
- Provide outstanding customer service throughout the sales cycle.
- Follow up on open proposals and pending decisions.
- Coordinate with warehouse/logistics for shipments, tracking, and delivery.
- Gather customer feedback and highlight key insights to the sales team.
- Ensure timely, professional communication with every customer.
Skills & Qualifications
- 1–3 years experience in sales support, customer service, or sales operations (lighting industry experience preferred).
- Exceptional written and verbal communication skills.
- Strong organization and attention to detail.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Experience with Zoho CRM or similar CRM platforms is a plus.
- Proficiency in Microsoft Office, Google Workspace, and PDF editing tools.
- Positive attitude, strong work ethic, and eagerness to learn the lighting/solar industry.

Special Bonus Program
- After the 3-month probation , you’ll earn a 1-2% incentive bonus on the sales you help manage (product revenue only; excludes shipping, taxes, and other costs).
- After 12 months of employment , you’ll also qualify for an additional bonus equal to 3 months of your salary , based on performance and contribution.
