Reports To: Director of Catechesis and Evangelization & Shared Services Administrative Lead
Position: Full-Time, Non-Exempt, Benefits
JOB SUMMARY
This position will assist/support functional departments and ministries with the daily administrative, project, and transactional tasks.
PRIMARY DUTIES & RESPONSIBILITIES
- Performs administrative tasks for team members to include maintenance of calendar and schedules, travel arrangements, and prepare and submit expense reports.
- Handle incoming calls and emails and respond accordingly.
- Receives and distributes office mail.
- Schedules and organizes meetings.
- Assists with documents and correspondence produce by department/functional area.
- Supports other related, varying needs of assigned departments and staff.
- Creates, maintains, and monitors multiple databases to manage information as needed. Accurate input of all data into various databases is critical.
- Supports the mission, philosophy, objectives and policies of the Catholic Church and the Diocese of Joliet.
- Additional duties and responsibilities as assigned.
OTHER DUTIES AND RESPONSIBILITIES
- Must support the mission, philosophy, objectives and policies of the Catholic Church and the Diocese of Joliet.
- Handle other duties as assigned.
- Manage the BCC reception desk on a rotational basis with other administrative assistants and program coordinators.
QUALIFICATIONS
- Excellent organizational skills and attention to detail.
- Excellent knowledge of office management systems and procedures.
- Excellent written and verbal communication skills.
- Superior ability to identify and solve problems.
- Excellent knowledge of office equipment.
- Proficient computer knowledge with emphasis on Microsoft Office Suite and data input into a variety of databases.
- Knowledge of basic administrative and clerical systems and procedures.
- Minimum of five (5) years solid experience working in Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook).
- Notary public registration a plus.
- Bilingual in English and Spanish required.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent required; Associate degree in office administration or related field preferred. ยท Minimum of five (5) or more years of administrative assistant experience preferred.
- Proven track record of success supporting computer systems, LAN and WAN environments and network security principles and best practices.
- Experience working in a team oriented and collaborative environment.
SALARY RANGE
- Salary range for this position is $22.00 - $26.00 per hour, depending on experience and qualifications.

WORKING CONDITIONS
- This is a full-time, benefited, non-exempt position. Normal work schedule Monday through Thursday 8:00 a.m. to 4:30 p.m. and 8:00 a.m. - 1:00 p.m. Friday. Additional time, as necessary.
