We're seeking an Office Manager to lead day-to-day operations and support Maes mission: helping customers manage lifes uncertainties through personalized insurance and lifelong relationships. Key Responsibilities:
- Lead and coordinate daily agency operations, including staff supervision, workflow organization, and coverage across product lines such as Auto, Home, Business, Life, Pet, and Health Insurance
- Maintain office hours alignment: MonWed 9 AM6 PM, Thu 9 AM6 PM, Fri 9 AM5 PM, Closed weekends (with after-hours by appointment)
- Serve as a liaison between clients and the agentensuring exceptional customer service, scheduling appointments (in-person and virtual), handling billing and claims inquirie
- Train, mentor, and motivate staff (like Aide Hernandez and team) to maintain high standards in licensing, client interaction, and product knowledge
- Oversee licensing compliance within the officeensuring all team members hold valid P&C licenses and meet continuing education requirements.
- Assist with localized community outreach efforts, including virtual appointments and educational events
- Manage administrative tasksoffice correspondence, vendor relations, insurance carrier communications, and maintaining confidentiality and professionalism in all client interactions.
- Licensed in Property & Casualty Insurance Essential for the role.
- Experienced in Insurance Agency Operations You understand workflow, compliance, and customer service within a multi-line agency environment.
- Strong Leader & Organizer You thrive guiding teams, optimizing processes, and maintaining a professional office environment.
- Excellent Communicator Youre customer-focused and adept at briefing clients and staff about complex insurance products in clear, empathetic terms.
- Tech-Savvy & Adaptable Comfortable with scheduling tools, billing and claims systems, and supporting both in-person and virtual client interactions.
- Community-Oriented You value building trust and long-term relationships with clients and community partners.
