The practice operates several locations and maintains a collaborative environment between physicians, clinical teams, and administrative staff.
Job Description
Addison Group is working with our client, a multi-location orthopedic specialty practice, to identify a Surgical Coordinator to support a spine surgeon. This role plays a key part in ensuring surgical cases are scheduled efficiently while maintaining clear communication between patients, providers, insurance representatives, and legal contacts when necessary.
The position requires someone who can manage multiple cases at once, stay organized under pressure, and communicate clearly with both clinical teams and outside partners.
Key Responsibilities
- Coordinate surgical cases from initial scheduling through post-operative follow-up
- Work closely with physicians, clinical staff, and hospital teams to ensure procedures are arranged efficiently
- Verify that patient records, authorizations, and required documentation are completed prior to surgery
- Manage communication with workers’ compensation representatives, insurance carriers, and legal contacts when applicable
- Maintain accurate surgical schedules and update physician calendars as needed
- Track and organize patient information within the electronic medical records system
- Address insurance inquiries, billing-related questions, and authorization requirements
- Support patients throughout the scheduling process by answering questions and ensuring they understand next steps
- Maintain organized documentation and ensure compliance with HIPAA and healthcare regulations
Qualifications
- Previous experience coordinating surgical procedures in an orthopedic or specialty medical practice
- Familiarity with spine surgery scheduling or orthopedic case coordination strongly preferred
- Experience managing workers’ compensation cases or third-party claims, including communication with attorneys, adjusters, and insurance carriers
- Ability to work efficiently in a high-volume clinical environment
- Strong knowledge of medical terminology related to surgical procedures
- Experience using electronic medical record systems (NextGen experience is a plus)
- Bilingual language skills are beneficial but not required
- Strong communication and organizational skills with the ability to manage multiple priorities

Additional Details
This position supports a high-volume spine surgeon and requires someone who is comfortable managing multiple cases simultaneously. The surgeon typically sees patients in clinic two days per week and performs numerous surgical procedures weekly, making strong organizational and communication skills essential.
The role may begin as a contract-to-hire assignment, with the possibility of permanent placement for the right candidate. Training will include shadowing an experienced surgical scheduler, followed by a gradual transition to independently managing case coordination.
