Senior Accountant

POSITION SUMMARY
The Senior Accountant performs a variety of complex, detailed, and diversified accounting procedures, including the preparation of monthly financial statements, budgets and subsidiary statements; maintains the general ledger; analyzes balance sheet and income statement accounts; consolidates financial statements; and provides analysis to both management and external auditors, ensuring compliance with GAAP, state, and federal regulations.
ESSENTIAL RESPONSIBILITIES / FUNCTIONS
•Ensures compliance with the organization’s policies as well as GAAP, federal, and state government guidelines.
•Reviews, tracks, and codes all expenses for vendor invoices and staff reimbursements.
•Reconciles monthly credit card statement to expense reports; ensuring proper coding, approvals, and supporting documentation are in place.
•Processes accounting entries into QuickBooks from donor system.
•Maintains monthly account reconciliations by fund between QuickBooks and the donor database.
•Completes monthly balance sheet reconciliations for general ledger accounts, reviewing entries for compliance to corporate accounting policies and GAAP regulations.
•Maintains and reconciles fixed assets schedules. Records costs of newly acquired fixed assets, tracks existing fixed assets, records depreciation, and prepares journal entries for the disposition and purchase of fixed assets.
•Reviews & maintains vendor W-9 forms. Reviews 1099 reportable accounts payable entries in order to produce accurate 1099 reports. Prepares IRS Form 1099s for all eligible vendors and files appropriate reports with the IRS.
•Reconciles and produces yearly contributions statements for donors.
•Supports and participates in the month-end close process ensuring that all financial transactions are recorded.
•Assists in year-end external audit by gathering supporting documentation, preparing audit schedules, and working with the auditors during the life cycle of the audit.
•Prepares leases, monitors recurring monthly billing, and manages payments and collections of rental income on leased properties.
•Documents and maintains accounting policies and internal control procedures.
•Contributes to department and organization special projects as assigned.
•Supports the Managing Director, Finance Operations in real estate matters including applying for property tax exemptions, and the purchase or sale or properties.
•Performs other related duties and responsibilities as required or assigned.
RELATED DUTIES
Additional hours are required throughout the year to meet accounting deadlines as needed, such as preparation of monthly and quarterly financials, year-end deadlines, audit preparation, and in-house audit review.
EDUCATION SKILLS & EXPERIENCE
•Bachelor’s degree in accounting.
•Minimum of five (5) years of experience working with GAAP accounting.
•Experience working with 501(c)(3) non-profit organizations.
•Working knowledge of nonprofit tax filing and compliance as it pertains to state and federal level regulations.
•Experience with fiscal grant reporting (city, county, state).
•Must be a self-starter; have strong communication skills; possess established skills in accuracy, organization, and the drive to work as needed to meet necessary deadlines.
•Proven experience working on year-end audits.
•Thorough understanding of financial application security, ensuring that all financial data is secure and complies with confidentiality policies.
•Must be proficient in Microsoft Excel and QuickBooks online accounting software, along with strong computer skills.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
Physical demands: While performing the duties of this job, the employee is occasionally required to walk and/or sit; use hands to fingers or feel objects, tools or controls, reach with hands and arms; balance; stoop; talk or hear. The employee must be able to bend, stoop, pull, push, lift, as well as have overhead extension of arms. Must be able to stand for long periods of time; be able to lift, carry or move at least 25 pounds. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.
Work environment: While performing the duties of this job, the employee will work in a public building and/or outdoors and thus will be exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate.
