Administrative Assistant in Grade 10 within the MLRO Unit
About the Malta Business Registry
The Malta Business Registry, established under Subsidiary Legislation 595.27, is responsible for the registration of new commercial partnerships, the registration of documents related to commercial partnership, the issuing of certified documentation including certificates of good-standing amongst others, the reservation of company names, the collection of registration and other fees, the publication of notices and the imposition and collection of penalties. The Registry also conducts investigations of companies and the keeping of the company and partnership register.
The Role
The eventual appointee will be appointed at an Administrative Assistant level and will form part of a team within the MLRO Unit.
The appointee will report to the Senior Manager of the MLRO Unit The individual selected for this role will be expected to carry out the following tasks:
- Provide administrative support to the MLRO;
- Maintain and organize records related to Anti-Money Laundering (AML) and Counter-Terrorist Financing (CTF) compliance;
- Conducting searches on Open Sources;
- Assist in preparing reports, presentations, and correspondence for internal and external stakeholders;
- Handle confidential documentation related to suspicious transaction reports (STRs) and regulatory filings;
- Coordinate meetings, training sessions, and audits, including scheduling and preparing necessary materials;
- Monitor and update internal compliance tracking systems and databases;
- Assist with due diligence processes, including customer screening and Know Your Customer (KYC) documentation;
- Liaise with internal departments and external regulatory bodies as required;
- Support the implementation and maintenance of AML policies and procedures; and
- Perform other administrative duties as assigned to ensure smooth operation within the Unit.
Any other duties described above may change depending on the exigencies of the MLRO Unit and/or the MBR.
About You
- Preference will be given to candidates who possess a Diploma in Criminology or Risk Management or Finance or in Legal (LL.D) or equivalent academic qualification in a relevant field of study at National Qualification Framework Level 5 or better, duly certified by the Malta Qualifications Recognition Information Centre (MQRIC)* or a widely recognised professional qualification at a comparable level; OR
- Candidates who possess at least one (1) year prior experience in a related area AND possess a Diploma in Criminology or Risk Management or Finance or in Legal (LL.D) or equivalent academic qualification in a relevant field of study at National Qualification Framework Level 4 or better, duly certified by the Malta Qualifications Recognition Information Centre (MQRIC)* or a widely recognised professional qualification at a comparable level; OR
- Consideration will also be given to Candidates who at least possess three (3) years’ prior experience in a related area AND a minimum of 5 ‘O’ Levels (one of which could be an ECDL Certification).
*It is the responsibility of applicants in possession of qualifications awarded by Universities and other similar institutions outside Malta to produce a recognition statement on comparability of qualifications issued by the Malta Qualifications Recognition Information Centre (MQRIC). Applicants should do so preferably at application stage or otherwise at the preliminary interview should an applicant be selected for such interview.

Appeal Procedure
