GENERAL FUNCTION:

We’re hiring a high-level Administrative Assistant to support the owner and management team of two busy optical practices. This role requires an individual with strong organizational skills, digital fluency, and the ability to streamline workflows using tools such as ChatGPT, Google Workspace, and other AI/productivity tools.

MAJOR DUTIES AND RESPONSIBILITIES:

  • Write, distribute, and manage email, correspondence, memos, letters, faxes, calendars, and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop, organize, and maintain a filing system, digital files, SOP, and process checklist.
  • Update and maintain office policies and procedures
  • Act as the point of contact for internal and external clients
  • Some bill/statement reconciliation
  • Use AI tools to summarize info, draft documents, and automate repetitive tasks
  • HR tasks (on-boarding, time-off logs, credentials

KNOWLEDGE AND SKILLS:

  • Proven experience as an Administrative Assistant or Office Administrative Assistant
  • Comfortable with digital tools and light automation
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Experience supporting multiple teams
  • Familiar with Notion, Airtable, or similar tools
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

EDUCATION AND EXPERIENCE:

  • Previous clerical experience
  • High School Graduate or equivalent
