Position Overview

The Illinois Department of Commerce and Economic Opportunity (DCEO) is seeking a highly organized and proactive Administrative Assistant to support the Office of Energy & Business Utility (OEBU) in advancing clean energy initiatives. This role involves coordinating across multiple disciplines and agencies, implementing policies, managing reports and audits, and overseeing personnel and fiscal operations. The ideal candidate will have experience leading strategic projects, developing organizational policies, and utilizing tools such as Tableau, Power BI, and Smartsheet to create dashboards and reports that enhance efficiency. Essential Functions

  • Serves as staff assistant to the Director of the Office of Energy Business Utility (OEBU).
  • Plans, organizes, prepares, and distributes regularly scheduled and ad hoc reports for the Deputy Director, Assistant Deputy Director, Program Manager, and other CEJA Leads as assigned.
  • Performs liaison work as a representative of the OEBU and CEJA Implementation team with other administrative management staff with the agency and other state agencies to facilitate the execution of goals and objectives.
  • Schedules meetings and maintains Deputy Director’s calendar; coordinates all travel arrangements; Coordinates CEJA outreach campaigns & events; prepares contracts and purchasing of office equipment & supplies.
  • Monitors the OEBU budget and identifies issues of budgetary shortfalls or overages.
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires two (2) years of professional experience in a public or private organization.

Preferred Qualifications

  • Prefers two (2) years’ experience developing reports and dashboards using reporting tools.
  • Prefers advanced level experience in the utilization of spreadsheet software, document creation, email and cloud-based platforms.
  • Preferes two (2) years of experience developing and implementing programs, policies, and project scopes in a business organization related to the energy/renewable energy industry.
  • Prefers two (2) years of experience in event planning, logistics coordination for workshops and summits, preparing reports, press releases, and presentations.
  • Prefers two (2) years of experience creating shopping carts in the SAP System or similar system.
  • Prefers two (2) years of experience developing and implementing corrective action plans for audit findings.

Conditions of Employment

  • Requires the ability to travel in the performance of duties, with overnight stays as appropriate.
  • Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends.
