Job Description:
Our client is seeking an experienced Corporate Meeting & Event Specialist to support the planning and execution of corporate meetings, conferences, client events, dinners, and other internal programs. This individual will coordinate events from initial planning through completion, partnering closely with internal stakeholders, venues, hotels, and outside vendors.
Key Responsibilities:
- Coordinate the planning and execution of small to mid-sized corporate meetings, conferences, dinners, and special events.
- Manage event logistics from beginning to end, including venue selection, meeting spaces, hotel accommodations, transportation, catering, and room setup.
- Partner with internal stakeholders to understand event goals, requirements, timelines, and budget expectations.
- Develop and track event budgets using historical information, established guidelines, and input from the events team.
- Serve as a primary point of contact between internal teams and external vendors, hotels, venues, and other event partners.
- Coordinate food and beverage selections, room blocks, event layouts, transportation arrangements, and additional hospitality needs.
- Provide on-site support during meetings and events and quickly address any scheduling, vendor, or logistical issues that arise.
- Build strong working relationships with internal departments, event attendees, and external partners.
- Participate in pre-event planning discussions and post-event wrap-up meetings.
- Monitor event-related spending and ensure expenses remain within approved budgets.
- Prepare expense summaries and assist with reviewing and processing event invoices.
- Maintain accurate event records, financial information, and supporting documentation.
- Assist with larger company-wide conferences and programs as needed.
- Support the broader meetings and events team with additional projects and responsibilities.
Qualifications:
- Bachelor’s degree required; Hospitality Management, Event Management, or a related field is preferred.
- Previous experience within financial services, professional services, or another corporate environment
- At least 2–3 years of professional experience in corporate events, hospitality, meeting planning, or conference coordination.
- Experience coordinating meetings or events from initial planning through final execution.
- Strong organizational and time-management skills with the ability to balance several priorities simultaneously.
- Excellent written and verbal communication skills.
- Demonstrated ability to work independently while contributing to a collaborative team environment.
- Strong problem-solving skills and the ability to remain composed when addressing last-minute event changes.
- High level of attention to detail and commitment to delivering polished, professional events.
- Customer-service mindset with experience supporting internal and external stakeholders.
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Experience with Cvent or another event/meeting management platform preferred.
Additional Details:
- While the position follows a hybrid schedule, additional on-site attendance may be required when supporting client or company events.
