Position Overview

We are seeking a highly organized, detail-oriented Quote Specialist / Sales Assistant to support our sales team and ensure fast, accurate, and professional proposal delivery.
This role is 80% quoting and proposal preparation , and 20% sales support & operations , including scheduling, project coordination, file management, and processing sales orders.

The ideal candidate is proactive, fast-learning, comfortable with technical details, and able to manage multiple projects in a fast-paced manufacturing and B2B sales environment.

Key Responsibilities

1. Quoting & Proposal Preparation (80%)

• Understand customer needs and gather all required project details:
• Field or site size
• Pole locations, height & quantities
• Foot-candle targets / IES class
• Confirm fixture model, wattage, optics, voltage, accessories
• Create accurate quotes in Zoho CRM .
• Prepare full proposal packages-Ensure all proposals follow company branding, structure, and quality standards.
• Track revisions, updates, and ensure final version accuracy.

2. Sales Manager Support

• Manage sales manager’s calendar, meetings, and call scheduling.
• Organize project assessment information to ensure quotes are accurate.
• Follow up with customers for missing information needed for design/quoting.
• Help prioritize urgent opportunities, deadlines, and follow-up reminders.

3. File & Document Management

• Maintain an organized digital library for:
• Proposal templates
• Spec sheets
• Brochures & marketing materials
• Lighting design files
• Warranty documents
• Customer folders
• Ensure all files are updated, easy to access, and properly named.

4. Order Processing & Logistics Coordination

• Create Sales Orders in Zoho.
• Create Shipping Orders and coordinate with warehouse/logistics.
• Prepare Invoices and help track payment status when needed.
• Track orders, shipments, and provide customers with updates & tracking numbers.
• Coordinate production lead times and inventory availability.

5. Additional Responsibilities

• Assist with customer inquiries and provide excellent communication.
• Support trade show preparation (documents, materials).
• Assist with CRM updates, lead entry, and pipeline notes.
• Continually improve quoting processes and proposal templates.
• Other tasks assigned to support sales growth and customer satisfaction.

Qualifications

• 2–5 years experience in quoting, sales support, project coordination, or customer service.
• Experience in lighting, electrical, construction, manufacturing, or similar technical fields is a major plus .
• Strong proficiency in Zoho CRM , Microsoft Office / Google Workspace.
• Ability to understand technical information (wattage, optics, voltage, solar specs).
• Excellent written and verbal communication skills.
• Very detail-oriented with strong organizational and multitasking abilities.
• Able to work independently, take initiative, and follow processes.
