Admin Assistant - Emergency Department
Overview: The Administrative Assistant performs clerical, reception, and support functions for the professional staff of the emergency department (75%) and pastoral care department (25%). This position helps to ensure overall coordination of schedules for emergency department director, manager, and medical director(s) and to a lesser extent pastoral care staff and additional emergency room staff. This position is responsible for department communication responsibilities as directed by department leadership. Responsibilities: Schedules meetings and arranges appointments for department. Prepares and/or provide necessary documents for use in meetings. Attend meetings as requested to take minutes. Manages appointments on leaders' calendars, prepares correspondence as directed. Assists in resolution of technology and environment issues for Emergency Department and Pastoral Care department including entering work requests for a variety of needs. Ensures that work/comp claim forms are completed properly by the Emergency Department Physicians. Enters data into scheduling software programs for ED nursing and tech staff, checking for accuracy. Arranges details (food, location, invitations) for department events as directed by leadership. Assists leadership in providing structure for any office intern to learn supporting roles in a hospital setting Manages travel plans and forms for corporate travel as directed by leadership. Manages record keeping, reminders, and reporting for ED Physicians of continuing medical education hours and non-stipend work hours. Assists in onboarding new department employees in the hospital systems as directed by leadership. Welcomes local clergy and other visitors to pastoral care office. Answers the general pastoral care phone line and appropriately relays messages to pastoral care staff. Manages local clergy database ensuring badge requests, computer network sign on requests are fulfilled. Provides customer service to area clergy. Performs other duties as assigned including but not limited to maintaining the professional appearance of the Emergency Department and Pastoral Care Department.
